Unattended and stagnant leads in Leadnote

Find leads nobody has contacted lately and leads stuck too long in one stage, then reassign, message, move or update them in bulk. Set stage SLA days.

Last updated 4 min read

Two screens help you rescue leads that are going cold. Unattended Leads shows leads with no recent activity at all. Stagnant Leads shows leads that have sat in one stage longer than they should. Both let you select leads and act on them straight away. Find them in the sidebar under Leads & Customers.

Unattended Leads

This screen helps you find and manage leads that have not been contacted recently, so you can reassign or move them for better follow-up.

  1. Open Leads & Customers and choose Unattended Leads.
  2. Set the filters:
    • Lead Captured During: Last N Days or All Time.
    • Lead Stage: all stages or specific ones.
    • List Name, Assigned To (which includes (Unassigned)) and Lead Source.
    • No Activity For Last a number of days, for example 10 or 30.
  3. Click Go. Until you do, the page asks you to select the filters and click Go.
  4. Read the table: lead name, organisation, stage, owner, age of the lead in days and Days since Last Activity.

Stagnant Leads

This report highlights leads that have remained in the same stage for an unusually long time. You define the thresholds, and the report shows how many days each lead has spent in each stage.

  1. Choose Stagnant Leads in the sidebar.
  2. Set the filters: Lead Captured During, Current Stage, List Name, Assigned To and Lead Source.
  3. Click Go.
  4. Read the table. After the lead name, title, organisation and owner there is one column per stage, such as "2. Contacted (SLA 5d)", showing the total days spent in that stage. Further columns show SLA Breaches, list, source, Age and Days since Last Activity.

The legend explains the colours: Within SLA, Approaching (75 percent or more of the limit), Exceeded SLA, and a blue outline for the lead's Current stage.

Configure SLA

Click Configure SLA to set limits.

  1. Enter the Default threshold (days). The built-in default is 14 days.
  2. For each stage, enter the number of days a lead may stay there. Leave a stage blank to use the default.
  3. Click save. A message says "Stage thresholds saved".

Won and Lost stages show Not tracked and cannot be given a limit. Only an admin can change stage thresholds. Other users see a note and can change only the default threshold for their view. You can also set a stage's Max days in stage (SLA) in Settings > Lead Stages. See lead stages.

Act on what you find

Both screens have a Bulk Actions bar. Tick leads (or use Select all N leads), then choose:

Action What it does
Connect Send an Email, SMS or WhatsApp message to the selected leads
Reassign Give them to another user. See assign leads
Move Move them to another list
Update Qualifiers Change potential, stage, groups or tags
Delete Delete the selected leads (restorable for 45 days)

Export downloads the rows as CSV. The windows are the same as in bulk actions.

A weekly routine

  1. Open Unattended Leads, set No Activity For Last 14 days and click Go.
  2. For each lead decide: call it, reassign it, or archive it if it is dead. See delete, archive and restore leads.
  3. Open Stagnant Leads and look for red cells. Ask the owner what is blocking the deal and schedule a follow-up.
  4. Adjust the SLA days if the alerts are too noisy or too quiet for your sales cycle.

Frequently asked questions

What is the difference between unattended and stagnant?

Unattended means nobody has recorded any activity on the lead for a number of days. Stagnant means the lead has stayed in the same stage longer than that stage's limit (its SLA).

What is the default stagnant limit?

14 days. You can set a different default and a specific limit for each stage in Configure SLA.

Who can change the stage limits?

Only an admin (the account owner or a manager). Other users can still change the default threshold for their own view.

Are Won and Lost stages checked?

No. Stages in the Won and Lost states are not tracked, because those leads are finished.
