Clone, share, lock and print a lead in Leadnote

Use the lead page's three dots menu to clone a lead into a new record, share a lead summary by email, lock it against edits or print it.

The three dots button (More actions) on a lead's page holds the actions that apply to the whole record: view the photo, add a business card, manage addresses, share the lead, clone it, move it, lock it, archive it, print it and delete it. This article covers clone, share, lock and print. The others are in edit a lead and delete, archive and restore leads.

Clone a lead

Clone creates a new lead from an existing one, which is useful when two contacts share most details, such as two people at the same company.

  1. Open the lead.
  2. Click the three dots button and choose Clone.
  3. The Add a New Lead or Customer form opens, filled in with the original's details. The List Name is left empty, so you must pick the list.
  4. Change the name, email, mobile and anything else that differs. A Possible duplicate warning will appear if you keep the original's email or mobile number, so change them.
  5. Click Save.

What the copy contains:

  • Copied: name, designation, organisation, contact details, address, website, qualifiers (potential, deal size, product and customer groups, tags), custom field values and the notes fields.
  • Not copied: comments, attachments, follow-up date and notes, stage history.
  • Reset for the copy: it starts at the default stage, is assigned to you and has Send Greeting Email switched on in the form, which you can turn off.

The original lead is not changed.

Share lead info

Share sends a short summary of the lead to someone by email, for example to a colleague who does not use Leadnote or to a partner.

  1. Open the lead, click the three dots button and choose Share Lead Info.
  2. In the Share window, type the recipient in To Email.
  3. Optionally add Notes for the recipient.
  4. Click Send. A message confirms "Lead info of [name] shared with [email]".

The email holds the lead's name, designation and organisation, email, mobile, location, stage, list and deal size, plus your note. The share is also written to the lead's System logs as "Lead info shared with [email]".

If Share Lead Info is greyed out, your role lacks the share permission. Hover over it to see why.

Lock and unlock a lead

A locked lead is protected from accidental changes.

  1. Open the three dots menu and choose Lock Lead.
  2. Confirm "Locked leads can only be edited, moved or deleted by an admin."
  3. To undo it later, choose Unlock Lead and confirm. Anyone with access can then edit, move and delete the lead again.

Only users with the lock permission see this entry. By default these are the account owner and managers. A locked lead cannot be edited, moved, deleted or reassigned by other members. In bulk actions, non-admins have locked leads skipped. You can find locked leads with Lock status in the filter panel under Others. See advanced filters.

Choose Print to open your browser's print dialog for the lead page. Use it to produce a paper copy or save the page as a PDF with your browser's "Save as PDF" printer.

Move a lead

Move opens the Move to List window. Select a list and click Move. Custom field values travel only if the destination list has the same fields. See add a lead for how lists work.

Other entries in the menu

  • View Profile Photo and Add business card manage images. See lead attachments.
  • Manage Addresses opens the Addresses screen for the lead in a new tab.
  • Archive or Unarchive, and Delete (in red).

Frequently asked questions

What does Clone copy?

It opens the Add a New Lead or Customer form pre-filled with the lead's profile and qualifiers. You choose the list, review the fields and save. It does not copy comments, files or follow-ups.

Why is Share Lead Info greyed out?

Sharing needs the share permission. If your role does not have it, the entry is disabled and shows the reason.

Can I lock a lead so that nobody changes it?

Yes, if your role may lock leads. A locked lead can still be read by everyone with access but only admins can edit, move or delete it.

Does Share Lead Info send a real email?

The summary is queued as an email message and the lead records the share. The dialog tells you that delivery may be simulated in the current release, so check the outbox if it does not arrive.
