Delete, archive and restore leads in Leadnote

Archive leads you want to keep but not work, delete leads you do not need, and restore either one. Deleted leads can be restored for 45 days.

Archive a lead when it is finished but you want to keep it, and delete it when you no longer need it. Both are reversible. Archived leads can be unarchived at any time, and deleted leads can be restored from the Deleted Leads screen for 45 days.

Archive a lead

Archiving takes a lead out of your active pipeline, and out of the normal lists and boards, without losing anything.

One lead

  1. Open the lead.
  2. Click the three dots button and choose Archive.
  3. Confirm in the Archive lead window. The message says "Lead archived".

Several leads

  1. Tick the leads on Leads & Customers.
  2. Click Archive in the bulk bar.
  3. Confirm "Are you sure you want to archive N leads?" The leads move to the Archived Leads section.

Find and unarchive leads

Open Settings, then Data Management, and choose Archived Leads & Customers, or go to the Archived Leads page.

  1. Narrow the list with Search, Archived By, List or Lead Stage, or the Archiving Timeline dates, then click Filter Leads. Reset Filter clears them.
  2. Tick the leads. Select all N leads selects every match (at a time only 5000 leads can be selected).
  3. Click Unarchive N leads. The page confirms how many were unarchived.

You can also open an archived lead directly. A banner reads "This lead is archived", and the three dots menu offers Unarchive.

Delete a lead

  1. Open the lead, click the three dots button and choose Delete (shown in red). Or tick leads in the list and click Delete in the bulk bar.
  2. Confirm "Delete this lead? You can restore it from Deleted Leads within 45 days."

A message repeats the 45 day window. Deleting needs the delete permission. If you do not have it, the entry is greyed out with a reason.

Restore deleted leads

Open Deleted Leads from the Hub, or from Settings > Data Management as Deleted Leads & Customers.

The page explains that it lets you access leads or customer records deleted in the last 45 days. To restore:

  1. Optionally filter by Deleted By, List, Lead Stage, search text or the Deletion Timeline, which can only be set within the last 45 days.
  2. Tick the leads. The steps shown on the page are: select the leads by clicking their checkboxes, then click Restore.
  3. Click Restore N leads. A message tells you how many were restored.

A deleted lead can also be restored from its own page: a banner says "This lead is in Deleted Leads", and Restore lead brings it back.

Delete permanently

On the Deleted Leads page admins also see Delete Permanently. It removes the selected leads for good, after a confirmation that says this cannot be undone and they can no longer be restored. Only admins (the account owner and managers) can do this. Nothing else deletes permanently, except the 45 day expiry.

What about merged duplicates?

When you merge duplicates, the copies move to Deleted Leads, so the 45 day rule applies to them too. The merge itself cannot be undone. See merge duplicate leads.

Locked leads

A locked lead can only be edited, moved or deleted by an admin. If you cannot archive or delete a lead, it may be locked. In bulk actions locked leads are skipped for non-admins.

Before a big clean-up

  1. Export the leads you plan to remove.
  2. Use filters to target them exactly, then check the count in the confirmation window.
  3. Prefer archive for leads you might need again, such as old customers.

Frequently asked questions

How long can I restore a deleted lead?

For 45 days. After that Leadnote removes the lead permanently and it can no longer be restored.

What is the difference between archive and delete?

Archive moves a lead out of your active pipeline but keeps it safe, and you can unarchive it any time with no time limit. Delete moves it to Deleted Leads, where it can be restored for 45 days.

Who can delete leads?

The account owner and managers by default. The owner can widen this in the roles and permissions settings. Everyone who can edit a lead can archive it.

Why would I archive instead of delete?

Archiving keeps your pipeline tidy and, as the confirmation notes, improves mobile sync performance, while leaving the full history intact for later.
