Bulk actions on leads in Leadnote

Select many leads and assign, move, tag, archive, delete or message them at once, or edit them in a spreadsheet-style sheet view. Limits and rules explained.

Bulk actions let you change many leads in one go. Tick the leads you want on the Leads & Customers screen, then use the bar that appears above the list. Each action asks for the details it needs, shows how many leads are affected and applies the change when you confirm.

Select the leads

  1. Tick the box on individual cards or rows, or tick the box at the top to select everything on the page.
  2. To select every lead that matches your search and filters, click the link that appears, such as Select all 240 leads. The message then says "All 240 leads matching the filters are selected."
  3. Click Clear selection to start again.

A bulk action works on up to 5,000 leads at a time. Filtering first is the safest way to target the right group; see search and filter leads.

The bulk action bar

Button What it does
Bulk Assign Assign every selected lead to one user
Bulk Email, Bulk WhatsApp, Bulk SMS Queue a message to the selected leads
Move to List Move the leads to another list
Update Qualifiers Change potential, stage, customer group, product group or tags
Bulk Update via Sheet View Edit contact details in an online spreadsheet
Archive Move leads out of your active pipeline
Delete Delete leads (restorable for 45 days)

Bulk Assign

  1. Click Bulk Assign.
  2. Choose a user under Assigned to.
  3. Optionally switch on Do not follow-up and enter a reason.
  4. Click Save.

See assign leads.

Move to List

Choose the destination under Move leads to another list and click Move. If the leads' current list has custom fields, their values move only when the destination list has the same fields mapped.

Update Qualifiers

This window updates one qualifier at a time. Click a tab (Lead Potential, Lead Stage, Customer Group, Product Group or Tags), choose the value and click Save. For tags and product groups choose Add to existing or Replace existing. Switching tabs discards the earlier choice, so apply them one by one. More in tags, sources and qualifiers.

Bulk Update via Sheet View

For corrections to names, emails, phone numbers and addresses, the sheet is faster than the form.

  1. Select leads and click Bulk Update via Sheet View, then Go to Sheet View.
  2. Edit cells directly in the table. The columns are First Name, Last Name, Organization, Designation, Email, Mobile, Website, City, State, Country, ZIP and Notes.
  3. Click Update. Only the changed rows are sent. The header shows how many leads changed.

Each changed row must still have a First Name and either an Email or a Mobile number. Mobile numbers must contain digits only, and emails must be valid. Rows with problems are highlighted and you are asked to fix them first. Leaving the page with unsaved edits asks for confirmation.

Archive and delete

  • Archive asks "Are you sure you want to archive N leads?" The leads move to Archived Leads and you can unarchive them at any time.
  • Delete moves leads to Deleted Leads, where they can be restored for 45 days. After that they are removed permanently.

Both are explained in delete, archive and restore leads.

Messaging from the bar

Bulk Email, Bulk SMS and Bulk WhatsApp open a composer.

  • Email has From Name, From Email, Reply To, Cc, Send a copy to me, an email template list, Subject, a rich Body, one attachment up to 5 MB and Add unsubscribe link.
  • SMS and WhatsApp take a template (optional) and the message text, limited to 700 characters with a live counter.
  • The window states how many of the selected leads can receive the message, for example "Leads with email". Leads without the needed contact detail, and locked leads you cannot edit, are skipped.
  • If the channel is not set up, a notice links to the SMTP, SMS or WhatsApp settings.

After the action

Leadnote shows a message such as "12 leads assigned." or "3 leads skipped (locked or unreachable)." The list refreshes and the selection clears.

Permissions

Everyone with access to a lead can run most bulk actions on it. Delete needs the delete permission, which defaults to the account owner and managers, and Export needs the export permission. When you lack a permission the button is disabled with a short reason.

Frequently asked questions

How many leads can I change in one bulk action?

Up to 5,000 leads per action. The select all link extends your selection to every lead that matches the current filters, within that limit.

What happens to locked leads?

Locked leads can only be changed by an admin. If you are not an admin, locked leads in your selection are skipped and Leadnote reports how many.

Can I undo a bulk action?

Archive and delete can be reversed from Archived Leads and Deleted Leads. Other actions such as a stage change or a move have no undo button, so check the count in the confirmation before you proceed.

Why is the Delete button missing?

Deleting is limited to the account owner and managers by default. Your owner can change this in the roles and permissions settings.
