How to export leads from Leadnote to CSV

Export your leads and customers to a CSV file from the Leads screen or Data Management: choose lists, filters and fields, and find past exports for 90 days.

Leadnote exports leads as a CSV file. For a quick export of what you see on screen, use the Export button on the Leads & Customers screen. For a full export with filters, field order and a history, use Data Management > Export. Both let you choose which fields go into the file. If you want a full copy of your account for safekeeping or before leaving, read export your data, which also covers the JSON backup.

Option 1: Export from the Leads screen

Use this when you have filtered or selected the leads you want.

  1. Open Leads & Customers. Apply a search or filters, or tick the leads you want. See search and filter leads.
  2. Click Export above the leads.
  3. The window says how many leads will be exported, for example "12 leads will be exported (selected rows) as a CSV file" or "(current filter)".
  4. Tick the fields you want. They are grouped as Contact, Organization and location, Qualifiers, Follow-up and activity, Notes and info, and Capture. Useful buttons: Select all, Default field list and Clear.
  5. Click Export. Your browser downloads a file named leads-DATE.csv, and a message tells you how many leads were exported.

Leadnote remembers the fields you chose for next time in that browser. If you selected specific rows, only those rows are exported. Otherwise the whole current filter result is exported, up to 20,000 leads per file. This export does not appear in the export history.

The Export button is hidden or disabled with an explanation if your role does not have the export permission.

Option 2: Data Management export

Open Settings, then Data Management, then Export, or use the Export to CSV card in the Hub. The page is called Export Leads and has two tabs: Export Lead & Customer Data and Export History & Status.

Export Configuration

  • Export Format is CSV (.csv). A note explains that Excel workbooks (.xlsx) are not generated by this version.
  • List Selection lets you tick lists. With none selected, all lists are exported. You can search the lists and use Select All, Select Filtered and Clear All.
  • Advanced Filters narrow the records:
Filter Choices
Records Active leads or Archived leads
Potential All, High, Medium, Low, Not Relevant
Customer Group, Product Group Any of your groups
Lead Stage Any stage
Assigned-to Any user
Next Follow up All, Today, Next 7, 30 or 60 days
Records Captured during Today, Yesterday, Last 10, 30, 60 or 90 days
Unattended Leads Untouched in the last 7, 15, 30, 60 or 90 days
Country, State A place
Date Range All Time, Today, This Week, This Month, This Quarter, This Year, Custom Range with From Date and To Date

Field Selection and Order

Choose fields from Available Fields, then drag them in Selected Fields & Order. The order you set is the column order of the file. Use Default Field List, Select All and Clear All as shortcuts. Tick Remember this selection and order for next export and click Save Field Selection & Order to keep it.

The available fields include name, organisation, designation, website, email, phone numbers, address parts, list, stage, lead source, potential, lead score, tags, product and customer group, deal size and currency, assigned user, follow-up date, notes and repeat setting, last comment, date of birth, special event date, lead and organisation notes, LinkedIn and reference URLs, the date the record was created, age of the lead and days inactive.

Run the export

Click Start Export. When it finishes, the file downloads and you see "Export complete: N records". If more than 50,000 records match, the file is limited to the first 50,000 (the oldest by creation date) and the message says so.

Export history

Open Export History & Status. It lists exports from the last 90 days with when they started, the platform, who ran them, the filters used and a download link. Use Refresh History to update. You see your own exports; the account owner and managers see all of them.

Good to know

On the mobile app

In the Leadnote app, open the side menu and tap Export Leads to Excel. The app creates a CSV file of the leads you are allowed to export and opens the share sheet, where you choose where to save or send it. The file opens in Excel and Google Sheets. Filters, field order and the export history are on the web.

Frequently asked questions

Can I export to Excel (.xlsx)?

Leadnote exports CSV files, which open directly in Excel, Numbers and Google Sheets. It does not generate .xlsx workbooks, even though some menu entries mention Excel.

Is there a limit on rows?

The Export button on the Leads screen writes up to 20,000 leads per file, and the Data Management export up to 50,000. If you have more, run several exports with different filters, for example by list or by date range.

Who can export?

The Export button on the Leads screen is for users with the leads export permission, which by default means the Account Owner, Managers and L1 Users. The Data Management export page is for the Account Owner and Managers unless the owner widens it.

Where can I download an older export?

Open the Export History & Status tab of the Data Management export. It keeps the last 90 days. You see your own exports; the owner and managers see everyone's. Exports made with the Export button on the Leads screen are not listed there.

Are archived leads exported?

Only if you ask. Under Records choose Archived leads. The default is Active leads.
