Lead tags and qualifiers in Leadnote
Qualifiers are the labels that classify a lead. Learn how to create and apply tags, set groups, and update or filter qualifiers for many leads at once.
Qualifiers are the labels you attach to a lead so you can group, filter and report on it. On the lead form they sit on the Qualifiers tab: Product Groups, Customer Group, Deal Size, Lead Potential, Lead Stage and Tags. This article covers tags in detail, then how the other qualifiers fit together.
Tags
Tags are free keywords such as "Hot lead", "Webinar 2026" or "Needs quote". They suit short-term labels for a campaign, an event or an intent. A lead can have as many as you like, and each tag has a colour.
Add a tag to a lead
- Open the Add a New Lead or Customer or Update a Lead or Customer form and go to the Qualifiers tab.
- Under Tags, click Select Tags and tick the tags you want.
- To make a new tag on the spot, click the plus button, type a name under New tag and click Add.
On the lead page you can use Edit tags in the Qualifiers panel. For many leads at once, see the bulk update below.
Manage the tag list
- Open Settings and select the Tags card. This opens the Qualifiers page on the Tags tab. You can also reach it with Manage Qualifiers.
- Select Add New Tag, enter a Tag name such as "Hot lead", pick a Tag colour and select Add. A message confirms "Tag created". If the name exists, Leadnote shows "A tag with this name already exists".
- Select the pencil icon to rename or recolour a tag. A rename updates the tag on every lead that carries it.
- Select the trash icon to delete a tag. The confirmation reads Delete "name"? It will also be removed from 8 leads, and you confirm with Delete tag.
The table shows each tag with the number of leads that use it. Use the search box, or sort by Recently Created, Name (A to Z), Name (Z to A) or Most used. The Most used sort shows which tags matter.
Only people who can edit settings see the Add New Tag button and the pencil and trash icons. By default that is the account owner and managers. Everyone else can still apply the existing tags to leads.
Tags in imports and filters
A CSV file can have a Tags column. Separate several tags with commas or semicolons. See import leads from a CSV file. In the filter panel, the Qualifiers section has a Tags menu, and the Table view can show a Tags column through Edit Columns.
Product groups and customer groups
- Product Groups record what the lead is interested in, for example a service line. A lead can have several.
- Customer Group segments your customers, for example "Enterprise" or "Dealer". A lead has one.
Set them on the Qualifiers tab of the lead form, or use Select Product Group and Select Customer Group in the Qualifiers panel of the lead page. The plus button in the form creates a group while you work, and group names cannot contain commas. The master lists live on the Product Groups and Customer Groups tabs of the Qualifiers page, which only the account owner and managers can change. See products and product groups and customer groups and addresses.
How qualifiers differ
| Label | What it answers | Where you manage it |
|---|---|---|
| Tags | Free keywords for a campaign, event or intent | Qualifiers page, Tags tab |
| Lead Potential | How likely the lead is to buy, in four fixed levels | Qualifiers page, Lead Potential tab. See lead potential and score |
| Lead Stage | Where the lead is in your sales process | Settings, Lead Stages. See lead stages |
| Lead Source | Where the lead came from, set by Leadnote | Qualifiers page, Lead Sources tab. See lead sources |
| Custom fields | A structured value such as a date, a number or a fixed list of choices | Qualifiers page, Custom Fields tab. See custom fields |
Use tags for loose, short-term labels, and a custom field when you need a value you can sort or require.
Update qualifiers for many leads
- Select leads on the Leads and Customers screen.
- Click Update Qualifiers in the bulk bar.
- Choose one qualifier at a time: Lead Potential, Lead Stage, Customer Group, Product Group or Tags.
- For tags and product groups, choose Add to existing (keeps what is there and adds the new ones) or Replace existing (removes all current ones first).
- Click Save.
Switching to another qualifier discards the previous choice, so apply them one by one. More bulk tools are in bulk actions on leads.
Filter by qualifiers
Open the filter panel and the Qualifiers section to filter by potential, product group, customer group, tags, deal size and lead score. The group menus also offer an (Unassigned) option for leads that have no group. See advanced filters.
Frequently asked questions
What happens to leads when I delete a tag?
The tag is removed from every lead that carries it. The leads stay. Leadnote tells you how many leads are affected before you confirm, and the delete cannot be undone.
Does renaming a tag change my leads?
Yes. Renaming a tag updates it on every lead that carries it.
Can a lead have more than one tag?
Yes. A lead can carry many tags and many product groups, but only one customer group.
Who can create tags?
Anyone who can add or edit leads can create a tag from the lead form. Managing the tag list in Settings (renaming, recolouring, deleting) is for the account owner and, by default, managers.
How long can a tag name be?
Up to 40 characters on the Tags tab in Settings, and names must be unique. Capital letters do not make a name different.
