Add products and product groups in Leadnote

Create products with prices, tax and images, organise them in price lists and product groups, use bulk actions and import a catalogue from a CSV file.

A product in Leadnote is an item or service with a name, a price, a currency and a price list. You add products once, then pick them when you build quotes, sales orders and invoices. Product groups label your products and your leads by area of interest.

Open the catalogue

Go to Sales Tools and open Products. The page has two tabs: Products and Price Lists. Every product belongs to exactly one price list, so create or choose a price list first. See Price lists.

Create a product

  1. On the Products tab, click Create Product.
  2. Enter the Product Name, then choose the Price List.
  3. Choose the Currency and enter the Unit Price. The price can have up to 4 decimals.
  4. Optionally add Make/Brand, Part Number/SKU, Product Group, Unit of Measure and a Description.
  5. If the product is taxed, set Taxable to Yes and enter the Tax Percentage (0 to 100). A Tax Code field is available for your own HSN or SAC code.
  6. Save. The page confirms "Product Created!".

While you type a name, SKU or brand, Leadnote shows matching existing values and marks exact matches as Already exists, so you can avoid duplicates.

After the first save, the product page has more tabs:

Tab What it holds
Product Details Barcode, colour, weight, material, pack size and dimensions
Pricing Price, tax and the price in other currencies
Images One main image and up to 5 more (JPG, PNG or GIF, up to 5 MB each)
Attachments Up to 5 files such as manuals or certificates
Stock & Purchase Unit Purchase Cost, Current Stock, Lead Time (Days), Vendor, minimum and maximum order quantity
Support & Links Specification and support links, which must start with http:// or https://
Related Products with the same name in another price list, or the same part number, with a price comparison
Logs A history of changes, image uploads and attachments

Active and inactive products

Each product is Active or Inactive. When you add a product to a quote, order or invoice, the picker offers only Active products from price lists that have not expired. Inactive products stay in the catalogue and in old documents.

Find and filter products

Use the search box to look in the name, part number, brand, description and barcode. You can filter by Status, Price List, Make/Brand and Product Group, and sort by Created Date, Product Name, Make/Brand or Last Modified. The list shows the Total Products count.

Bulk actions

Tick the boxes next to several products. A bar appears with these actions:

  • Map to Price List: choose a price list and click Map to move all selected products to it.
  • Make Active and Make Inactive.
  • Delete: permanently deletes the selected products. This is limited to the Account Owner and Managers, and it cannot be undone.

Export the list

Users with export access see an Export button that downloads the filtered product list as products.csv. The file includes your prices in other currencies, so you can edit it and import it again.

Import products from a CSV file

  1. On the Products tab, click Import.
  2. Upload a CSV file, map your columns to Leadnote fields and choose how to handle duplicates: skip, update the existing record, or add anyway.
  3. Start the import and review the result.

Product Name, Currency and Unit Price are required. Part Number / SKU is the duplicate key. If the price list or product group in a row does not exist yet, Leadnote creates it. A row with an existing SKU in a different currency is stored as a price in that currency rather than as a second product. The Currency must be a code such as INR, USD or EUR that is enabled for your organisation.

Product groups

Product groups describe what a lead is interested in, for example "Solar panels" or "Consulting". The page is titled List of Products and Services and has a Leads column showing how many leads use each group.

  1. Open Product Groups from the Settings hub.
  2. Click Add New Interest, type a name and save.
  3. Use the edit icon to rename a group or the delete icon to remove it.

Only the Account Owner and Managers can add, rename or delete groups. Names must be unique. Renaming a group also updates the leads that use it. A group that is still used by products cannot be deleted.

You can pick a product group on a lead as well as on a product, and filter leads by it. The mobile app can add, rename and delete product groups too, for the same roles.

Frequently asked questions

Why does my product not show up when I build a quote?

The quote product picker lists only Active products that belong to a price list that has not expired. Check the product status and the expiry date of its price list.

Can I import my product list from a spreadsheet?

Yes. Use Import on the Products tab and upload a CSV file. Product Name, Currency and Unit Price are required, and Part Number / SKU is used to find duplicates.

Who can delete products?

Anyone with delete access can delete a single product. Deleting several products at once is limited to the Account Owner and Managers.
