Create and manage price lists in Leadnote

A price list groups your products under one currency, region, tax rate and expiry date. Learn how to create, edit, import, price by currency and delete them.

A price list is a named group of products with a currency, an optional region, an optional expiry date and an optional tax rate. Every product must belong to one price list, so you create your price lists before you add products.

Open price lists

Go to Sales Tools, open Products, then choose the Price Lists tab. The tab shows the Total Price Lists count, the number of products in each list, its region, currency, expiry date, status, owner and last modified time.

You can filter by status (Active or Expired), currency, owner and region, including Blank (No Region). You can sort by price list name, region or expiry date.

Create a price list

  1. On the Price Lists tab, click Create Price List.
  2. Enter the Price List Name. Names must be unique.
  3. Choose a Currency. This is required.
  4. Optionally choose the Owner (it defaults to you), a Region and an Expiry Date. Leave the expiry date empty for no expiry.
  5. Set Taxable if products in this list are normally taxed, then enter the Tax Percentage. The percentage is required when Taxable is on.
  6. Add a description if you want one, then save. The page confirms "Price List Created!".

The Region list comes from your sales organisation. See Sales organisation.

What the tax rate and currency do

The currency and tax percentage of a price list are defaults for new products you create in it. They do not change products that already exist. When you edit a price list and change the currency or the tax percentage, Leadnote shows a notice that existing products keep their own values and that only new products use the new ones. You confirm with I Understand, Continue.

Active and expired lists

A price list is Expired once its expiry date has passed. Expired lists and their products stay in the catalogue, and the product list shows an Expired badge. They no longer appear in the product picker when you create documents. Documents you already created keep their lines.

To bring a list back, edit it and set a later expiry date, or clear the date.

Prices by currency

Open a price list and choose the Prices by currency tab. Pick a currency under Show prices in. For each product you see whether the price is the product price, an explicit price you set, a converted price, or missing because no exchange rate exists. You can type an explicit price in that currency and save it, or remove it to go back to the converted price. For the rules, see Currencies in sales documents.

View products and edit

  • Click the product count, or choose View Products from the row menu, to see the products in that list.
  • Click the price list name to open its details, including audit information such as who created and last modified it. Use Edit Price List to change it.

Import and export

  • Import opens the import wizard for price lists. Price List Name and Currency are required. Owner (by email), Region (by name), Expiry Date (YYYY-MM-DD), Taxable, Tax Percentage and Description are optional. Rows with a name that already exists are handled by the duplicate option you pick: skip, update or add.
  • Export downloads a CSV file of your price lists. It is available to users with export access.

Delete a price list

Choose Delete from the row menu. If the list has no products, Leadnote asks you to confirm. If it has products, the dialog Delete price list and its products? warns that those products will also be deleted permanently. Move the products to another price list first with the bulk Map to Price List action if you want to keep them. See Products and product groups.

Who can do what

Creating and editing price lists needs create and edit access to Sales Tools, which L1 Users have by default. L2 Users can view them. The Account Owner can change this in the permission matrix.

Frequently asked questions

What happens to my products when a price list expires?

Nothing is deleted. The price list and its products are marked Expired, and the products stop appearing in the product picker when you build new quotes, orders and invoices.

If I change the currency of a price list, do my product prices change?

No. Leadnote warns you that existing products keep their own currency. Only products you add afterwards use the new default currency.

Can I assign a price list to a customer?

No. Price lists organise your catalogue. You choose products line by line on each document, and the price comes from the product.
