How to add a lead in Leadnote

Add a lead or customer to Leadnote by hand: which fields are required, how the duplicate warning works, and what each tab of the form is for.

Last updated 4 min read

To add a lead in Leadnote, click Add Lead on the Leads & Customers screen, pick a list, type a first name and an email or mobile number, then click Save. Everything else on the form is optional and can be filled in later.

Where to start the form

There are three ways to open the same form, called "Add a New Lead or Customer":

  • On Leads & Customers, click Add Lead at the top right.
  • Click the + (Quick Create) button in the top bar and choose Lead.
  • In the sidebar open Leads & Customers and choose Add Leads. This page also lists other ways to bring leads in, such as forms, integrations and the mobile app.

Fill in the Profile tab

The form has four tabs on the left: Profile, Qualifiers, Follow-up and Info+. A star (*) marks a required field. Two stars (**) mean you need one or the other.

  1. Under List Name, choose the list the lead belongs to. A list groups leads that come from the same source, such as an event or your website. See what lists are.
  2. Type the First Name. Add a Last Name, Designation and Organization if you have them.
  3. Enter an Email, a Mobile number, or both. Pick the country code next to Mobile and type digits only. Leadnote checks the number against the country, for example a 10 digit number starting with 6, 7, 8 or 9 for India.
  4. Add Notes if you want a short remark on the record.
  5. Further down you can add a Website, Telephone (Direct), Telephone (Office) and the address. In Find address you can paste a full address and click Fill fields to split it into Address Line 1, Address Line 2, City, State, ZIP Code and Country.

Qualifiers tab

Qualifiers describe how promising a lead is and how you want to group it.

Field What it does
Product Groups The products or services the lead is interested in. Use the plus button to create a group on the spot.
Customer Group One segment for the customer.
Deal Size Expected value. Choose the currency next to the amount.
Lead Potential High, Medium, Low or Not Relevant. New leads default to Low.
Lead Stage Where the lead is in your pipeline. New leads default to the first stage, usually Open.
Tags Free labels, for example Hot lead. Use the plus button to create a tag.
Custom Fields Extra fields your organisation defined under Settings > Fields.

Follow-up tab

  • Assigned to defaults to you. Choose a teammate, or Unassigned.
  • Next follow-up date takes a date and time. The quick buttons Next 1 hour, Tomorrow same time and Next week same time fill it in for you.
  • Follow-up notes records what to do next. Repeat follow-up can be None, Weekly, Monthly, Quarterly or Annually and schedules the next one when one is completed.
  • Switch on Do not follow-up if you never plan to contact the lead. You then enter a reason.
  • Send automatic wishes holds Date of Birth and Special Event Date, each with a Send wishes switch. The emails go out only when you have created the matching templates and switched them on under Email Templates.

Info+ tab

Use it for Lead Notes, Organization Notes, the LinkedIn Profile and up to three Reference URL fields.

Switches at the bottom

Two switches sit at the bottom of the form when you are adding a lead:

  • Send Greeting Email queues a greeting email to the lead when you save. The form states that delivery is simulated in the current release, so check the Message Outbox if you expect to see it.
  • Share Business Card shares your business card with the lead.

Click Save. A green message confirms that the lead has been added. If something is missing, Leadnote shows "Please provide List Name, First Name, a valid Email/ Mobile to add a lead" and marks the tab that needs attention.

After you save

If the email or mobile number matches an existing record, a dialog titled with the lead's name and "Data already exists" lists the lists that already hold it, each with a View Details link. The new lead is still saved.

To change a lead later, see edit a lead. To add leads in bulk, see import leads from CSV.

Frequently asked questions

Which fields are required when I add a lead?

You must choose a List Name and enter a First Name, and you need either an Email or a Mobile number. Everything else is optional unless your organisation has made a custom field mandatory.

Can I save a lead that already exists?

Yes. When the email or mobile number matches another lead, Leadnote shows a Possible duplicate warning but still lets you save. After saving it lists the existing records so you can open them.

Why does a new lead have the potential Low and the stage Open?

Those are the defaults. A new lead starts at the first stage of your pipeline (Open on a fresh account) with the potential Low, and it is assigned to you unless you pick someone else.

Where do I add many leads at once?

Use the import wizard for a spreadsheet saved as CSV. See the import article linked below.
