Lead notes and comments in Leadnote
Record every conversation on a lead with comments, @mentions and file attachments, and learn where Notes, Lead Notes and Follow-up notes differ.
Comments are the running diary of a lead. Open the lead, go to the Comments tab, write what happened and click Post. Everyone with access to the lead sees it with your name and the time, so nobody has to ask the same question twice.
Post a comment
- Open the lead from Leads & Customers.
- On the right, click the Comments tab. The number badge shows how many comments exist.
- Click in the box that says "Add a comment. Type @ to mention a teammate."
- Type your note: what you discussed, what the customer asked for, what you promised.
- Optionally click Attach files and choose files (up to 5 MB each).
- Click Post. A green message confirms "Comment posted successfully".
New comments appear at the top. If there are many, click Load more comments.
Mention a teammate
Type @ in the box and a list of teammates appears. Pick a name and it is inserted in the text. When the comment is posted, the mention is highlighted so readers notice it.
Attach files to a comment
Files you attach while posting travel with the comment and are also listed on the Attachments tab. Each file can be up to 5 MB. Remove a file before posting with the small cross beside its name. See lead attachments.
Delete a comment
- Hover over the comment and click the bin icon (Delete comment).
- Confirm "Delete this comment permanently? This cannot be undone."
You can delete your own comments. The Account Owner and Managers can delete any comment.
Calls, emails and messages
The Call, WhatsApp, SMS and Email buttons on the lead's profile add an automatic entry to the timeline, but they do not record what was said. Add a comment afterwards. How these entries work is in lead activity history.
Where the other note fields live
Leadnote has several text fields on a lead. They do different jobs:
| Field | Where you edit it | Use it for |
|---|---|---|
| Notes | Profile tab of the form, and the Qualifiers panel (Add Notes) | A short summary of the lead |
| Lead Notes | Info+ tab | Longer background on the person |
| Organization Notes | Info+ tab | Facts about the company |
| Follow-up notes | Follow-up tab, and the follow-up window | What to do on the next contact |
| Do not follow-up reason | Follow-up tab | Why the lead is parked |
These fields hold one value each, and saving replaces the old text. Comments never overwrite anything, which is why they are better for a record of what happened.
What you see in the list
- The Card view shows the last comment, or "No recent comment".
- The Table view has a Recent Activity column with the latest entry and how long ago it was.
- The filter section Activity can find leads by Comment posted by and by Comment date range. See advanced filters.

Comments are only one part of a lead's timeline. Stage changes, reassignments, follow-ups and the other automatic entries are in lead activity history, and a team-wide view of calls and to-dos is in the Activity Report.
Frequently asked questions
What is the difference between a comment and a note?
A comment is a dated entry in the lead's timeline with an author, and it stays as a record. Notes fields (Notes, Lead Notes, Organization Notes, Follow-up notes) are single text boxes on the lead that you edit and overwrite.
Who can delete a comment?
The person who wrote it, and the Account Owner and Managers. Deleting is permanent and cannot be undone.
Does an @mention notify my teammate?
The name is saved and highlighted in the comment, but Leadnote does not send a separate notification for it. Tell the person or assign the lead to them.
Can I edit a comment after posting?
No. A comment cannot be edited. Delete it and post a corrected one, or add a follow-up comment.
