Follow-ups and tasks
How to schedule a follow-up in Leadnote
Schedule a follow-up on any lead with a date, time, note, repeat and reminder channel, on the web or in the mobile app, in a few taps.
You schedule a follow-up from the Assignment & Follow-up card on a lead: choose Schedule a follow-up, pick a date and time, add a note and press Save Changes. The follow-up then shows on the lead, on the dashboard schedule and in the Follow-up Calendar, and it is the date the team works from.
What a follow-up holds
Every follow-up carries the same few things, so a colleague can pick it up without asking you what was meant.
| Field | What it does |
|---|---|
| Assigned to | The person who must do the follow-up. Required. |
| Next follow-up date | The date and time it is due. |
| Follow-up notes | A reminder of what to do, for example "Send revised quote". |
| Repeat follow-up | None, Weekly, Monthly, Quarterly or Annually. |
| Remind me via | In-app, Email, WhatsApp, SMS. In-app is the default. See Follow-up reminders for what each one does. |
A lead has one pending follow-up at a time. Leadnote calls it the next follow-up, and that is the date you see on lead cards, in the lead list column "Next follow-up Date" and on the dashboard.
Schedule a follow-up on the web
- Open Leads & Customers in the sidebar and click the lead.
- In the Assignment & Follow-up card, choose Schedule a follow-up. If the lead already has one, the button on the card is Edit and the dialog is titled Edit Follow-up Details.
- In Assigned to, pick a user. This field is required.
- Set Next follow-up date with the date and time picker. For speed, use one of the quick buttons: Next 1 hour, Tomorrow same time or Next week same time.
- Write what should happen in Follow-up notes (the hint reads "What to do on next follow-up?"). The date must be in the future: a new date that has passed is refused with "Pick a time in the future".
- Choose a Repeat follow-up value if this is a routine check-in.
- Under Remind me via, tick the channels you want.
- Press Save Changes. A message confirms "Follow-up details saved".
Schedule a follow-up in the mobile app
There are two ways in. On a lead, open the Assignment & Follow-up section. Or, in the Follow-Ups tab, press Set follow-up, pick the lead from the Set Follow-up to list and the editor opens.
The editor has the same ideas as the web dialog: Assigned to, Next follow-up date with the quick choices In next 1 hour, Tomorrow same time, Next week same time and Custom, Next follow-up notes, Repeat Follow-up, and Do not follow-up. Press Save when you finish.
Differences from the web: Repeat Follow-up is a switch that opens the choice of Weekly, Monthly, Quarterly or Annually (it starts at Weekly), and there is no Remind me via choice because the phone rings for follow-ups assigned to you. Notes are limited to 1000 characters on both web and phone.
The mobile app works offline. A follow-up you save without a connection is kept on the phone, marked as not sent yet, and goes to the server on the next sync. Read Offline mode and how sync works for the details.
Change or remove a follow-up
Open the same card and choose Edit. Change any field and save. To cancel the follow-up without replacing it, clear the Next follow-up date and press Save Changes. To stop chasing a lead for good, use the Do not follow-up switch, explained in Repeat follow-ups and Do not follow-up.
Good habits
- Write the note for the person who will read it next week, not for yourself today.
- Schedule the next follow-up before you close the lead. A lead with no date is easy to forget, and the dashboard counts those leads separately under the "Date to be set" timeline.
- Keep In-app ticked. It is the channel that rings on the assignee's phone; see Follow-up reminders.
- Times are shown in your organisation time zone on every screen, so the whole team reads the same clock.
Who can schedule follow-ups
Owners and managers can schedule and edit follow-ups on any lead they can see. Team members with the L1 or L2 role work with their own follow-ups. A follow-up cannot be assigned to a deactivated user.
Frequently asked questions
Can a lead have more than one follow-up at the same time?
A lead shows one pending follow-up, called the next follow-up. When you complete it you schedule the next one, or let the Repeat setting create it for you.
Can I schedule a follow-up in the past?
No. The web form and the mobile app both refuse a new date that has already passed and ask you to pick a time in the future. Re-saving an overdue follow-up without changing its date is allowed, and it stays overdue until you complete or move it.
What happens if I clear the date and save?
On the web, saving with an empty Next follow-up date cancels the lead's pending follow-up. The cancelled entry stays in the follow-up history.
Can I give a follow-up to a teammate?
Yes. Choose them in the Assigned to field. The lead is assigned to that person too, and the follow-up appears in their schedule.
