Leadnote offline mode and how sync works
See what the Leadnote app can do without internet, what needs a connection, how queued changes are sent, and what to do when a change shows Not sent yet.
The Leadnote app keeps a working copy of your data on the phone, so you can view leads and make changes with no internet connection. Changes you make offline wait in a queue and are sent to the server automatically when the phone is online again.
You do not switch offline mode on. The app simply works from the phone first and talks to the server in the background.
What works without a connection
After the first sync you can do all of this offline:
- Browse, search, sort and filter the leads stored on the phone.
- Add a lead, use Quick add, edit, clone, move, delete or assign leads.
- Mark leads as favourite and update qualifiers such as potential, stage and tags.
- Set follow-ups, mark them done, and create or update to-dos.
- Write comments and notes.
- Attach files, photos and voice recordings. They show "Waiting to upload" until the phone is online.
- Check in and check out at a visit. The message says "It is sent when you are online."
- Save business cards, import phone contacts and import a .vcf file.
- Create, edit, clone and delete lists, and manage templates, tags and groups, if your role allows it.
- Receive follow-up and to-do reminders, because they are planned on the phone.
What needs a connection
Some screens read live data from the server and say so ("This screen reads live data from the server. Connect to the internet and try again."):
- Quotes, invoices and sales orders, support requests, and Plans and Usage.
- Reports such as Team Performance, and exporting leads.
- Managing users: adding, editing, deactivating, resetting passwords.
- Integrations, which are set up on the web.
- List auto-response switches and email template editing.
- The people-nearby part of Map view, and loading attachments of a lead.
- Searching leads beyond the ones stored on the phone.
- Logging in, changing your password and requesting account deletion.
How a change travels
- You save. The change appears on the phone at once, marked Not sent yet.
- The app places it in a queue in the order you made it.
- When the phone is online, the queue is sent. This starts about two seconds after a save, when the connection returns, when you open the app, and about every five minutes while it is open. A background task also runs about every 15 minutes.
- The server accepts each change once. If a reply is lost and the app retries, the server recognises it and does not create a duplicate.
- The "Not sent yet" label disappears and the lead shows the server's copy.
At the top of some screens you may see "N changes waiting to send" or "Sync is paused". Paused means the app is waiting, for example because there is no connection or an update or password change is required.
When a change is refused
Occasionally the server refuses a queued change, for example because you no longer have permission or the list you chose was deleted in the meantime. After the next sync the phone shows the server's version again. Two places spell it out: a refused list delete puts the list and its leads back and shows a note explaining why, which you can dismiss; and on the Qualifiers screen a refused change stays visible with Retry and Discard.
Keeping the phone in sync
- Tap Tap to sync data in the menu, or the card at the top of Settings, to sync right now. The card shows Last sync with the time on your phone, or Not synced yet.
- Pull down on a list to sync.
- Avoid battery savers that stop Leadnote in the background. On some phones this delays the background sync and reminders.
Security of the offline copy
The copy on the phone is stored in an encrypted database. When you log out, the app deletes the database, its key, your reminders, kept business card photos and exported files cached by the app. Read Sign out and delete your account for details.
Troubleshooting
If changes stay at Not sent yet for a long time:
- Check that mobile data or Wi-Fi works in your browser.
- Tap Tap to sync data.
- Make sure the app is up to date. An old version is asked to update before it can send anything.
- If the account is suspended, changes are kept and sent once access returns.
- Still stuck? Follow Mobile app not syncing.
Frequently asked questions
Can I add leads when I have no signal?
Yes. The lead is saved on your phone with the label Not sent yet and is sent automatically when the phone is online again. Nothing is created twice, even if the connection drops while sending.
What happens if two people change the same lead?
Each phone sends its changes, and the server holds the final record. After a sync the app shows the latest values, so reopen the lead to see them.
How do I force a sync?
Open the menu and tap the header that says Tap to sync data, or open Settings and tap the sync card at the top. You can also pull down on a list.
Do I lose unsent changes if I log out?
Yes. Logging out removes the local copy, including changes that were never sent. The log out confirmation shows how many unsent changes would be lost, so connect and sync first.
