Add a lead from your phone with the full form, Quick add, phone contacts, a .vcf file or a business card. See required fields, offline use and duplicate checks.

To add a lead in the Leadnote app, tap the round add button on the Leads tab and choose Add lead form for the full form or Quick add for a short one. You can also create leads from your phone contacts, a .vcf file or a photo of a business card.

Every route works offline. The lead is saved on the phone first and sent to the server when a connection is available.

Choose the right way

Option in the add menu Best for
Add lead form A complete profile with qualifiers, a follow-up and extra details.
Quick add A new contact in a few seconds: name, organisation, email, mobile and a note.
Import contacts Picking people from your phone's address book.
Import VCF file Adding contacts from a .vcf (vCard) file.
Add from Business Card Photographing one or more cards. See Scan business cards into leads.
Integrations Seeing which lead sources are connected. Connections are set up on the web.

The drawer entry Add Leads shows the same options on one page. You only see them if your role may create leads.

Add a lead with the full form

  1. On the Leads tab tap the round button, then Add lead form.
  2. On the Profile tab choose the List the lead belongs to.
  3. Enter First name. Add Last name, Organization, Designation, Business email, Mobile / WhatsApp and the other phone fields as needed. Pick the Country code from the searchable list.
  4. Optional: tap the microphone beside a notes field to dictate. Tap Show address info fields for Address line 1, Address line 2, City, State, ZIP and Country, or tap Capture my current location as address.
  5. On Qualifiers set Potential, Lead stage, Deal size, Product group, Customer group and Tags. New leads start in your organisation's default stage.
  6. On Follow-up choose Assigned to, the Next follow-up date, notes and whether it repeats, or tick Do not follow-up.
  7. On Info+ add Website, LinkedIn profile, Date of birth, Special event date and similar details.
  8. Tap Save. You see "Lead saved".

If you press back with unsaved changes, the app asks "Do you wish to save this Lead?" with Exit and Save.

Required fields and rules

  • First name is required, and so is a list.
  • Provide an email or a mobile number. The app says "Enter an email or a mobile number" if both are empty.
  • A mobile number must contain only digits and be 6 to 15 digits long. An Indian mobile number must be 10 digits and start with 6, 7, 8 or 9.
  • Deal size must be a valid amount in your organisation's currency.
  • Custom fields that your organisation marked required must be filled in.

Add a lead with Quick add

Quick add keeps only the essentials.

  1. Tap the round button, then Quick add.
  2. Choose the List name.
  3. Type the Name in one box. The first word becomes the first name and the rest becomes the last name.
  4. Fill Organization, Business email, Mobile / WhatsApp and Notes.
  5. Decide whether to leave Send greeting email on, if your list sends one.
  6. Tap Save.

If the list has required custom fields the app shows "This list needs more details. Use the Add lead form."

Duplicates

Leadnote checks capture screens for people you already have. When you save from the business card or import flows and the same email or mobile number exists, you see "Possible duplicate" with the option Add anyway. Contact imports skip phone numbers that are already leads. On any lead, the Duplicate leads section lists leads with the same email address or mobile number, and Related leads lists leads from the same organisation or email domain.

Edit, clone and copy a contact to the phone

  • Open a lead and tap Edit to change it. A locked lead can be edited by owners and managers only.
  • Use the More options menu on the lead and choose Clone lead to start from a copy. The title reads "Clone / Copy lead".
  • Choose Save to contact in that same menu to open your phone's new-contact screen filled with the lead's name, phone and email. Leadnote only opens the screen; you save it there.

After you save

Leads you add offline show Not sent yet until they are sent. The Leads tab refreshes after a sync. If a colleague should handle the lead, assign it from the lead or with the Assign bulk action. See Work with your lead list on mobile. The web version of this task is in Add a lead.

Frequently asked questions

What is the minimum I must enter to save a lead?

A first name, a list, and either an email address or a mobile number. Your organisation can also make some custom fields required.

Why does Quick add say that the list needs more details?

The chosen list has a required custom field. Quick add has no space for it, so use the Add lead form instead.

Can I add a lead without a connection?

Yes. The lead is saved on the phone, marked Not sent yet, and sent automatically when you reconnect.

I do not see the add button options I expected.

The options depend on your permissions. You need permission to create leads to add them, and permission to view integrations to see Integrations.
