Call, WhatsApp, text and email a lead from the app
Reach a lead from the Leadnote app in one tap: open the dialer, WhatsApp, text or email with a ready template, and see each contact logged on the lead.
To contact a lead from the Leadnote app, open the lead and tap Call, WhatsApp, Text or Email in the action strip. Leadnote opens the right app on your phone with the number or address filled in, and records the contact on the lead's activity.
You can also swipe a lead card on the list to reveal Call and WhatsApp quickly.
The action strip on a lead
The round buttons under the lead's name include:
| Button | What happens |
|---|---|
| Call | Opens your phone dialer with the number. Press the call button there. |
| Offers your WhatsApp templates, then opens a WhatsApp chat with the text ready. | |
| Text | Offers your text message templates, then opens your messages app. |
| Offers your email templates, then opens your email app with subject and body. | |
| Attachments | Opens the lead's files. |
| Share | Opens the system share sheet with a summary titled "Lead info of" and the lead's name. |
Other buttons, such as Check-in/out, a button to share one of your organisation's pages with the lead, and Calendar, appear when your role and settings allow them.
Use a template
When you tap WhatsApp, Text or Email, a sheet lets you search and pick a template for that channel. Pick None to write your own message.
The template is filled in for this lead before it opens. Placeholders for the lead (name, organisation, designation, email, phone, city, country), for you (name, email, phone, designation) and for your organisation are replaced with real values. If the channel has no templates you see "No templates for this channel", and you can still pick None.
Email templates are stored as HTML on the server. The app turns the template into plain text for the email, so formatting such as bold text is not carried over.
Step by step
- Open the lead from the Leads tab.
- Tap WhatsApp, Text or Email.
- Choose a template, or None.
- Your phone's app opens. Read the message, change it if you like and press send.
- Come back to Leadnote. The contact is listed in Recent activity as WhatsApp, Text message, Email or Call.
Create and manage templates
Open Settings > Templates to create, edit or delete WhatsApp and text templates. Tap New template, name it, write the content and insert a placeholder with the picker; a live preview shows sample values. Filter the list with All, Created by me or Shared by team. All templates are visible to the whole organisation, and system templates cannot be deleted. Creating, editing and deleting need the matching permission for campaigns. Templates can be changed offline.
Messages sent by Leadnote itself
Calling and messaging from a lead always uses your own apps. Sending one message to many leads through Leadnote is a separate feature: the bulk-messaging entry in the side menu. It sends through the WhatsApp, text or e-mail channels your organisation has connected, needs a connection and asks you to confirm before it sends. See the Messaging overview.
Good to know
- No permission is needed for these actions. Leadnote hands the number to your dialer or messaging app. Camera, microphone and call log permissions are not used.
- Tapping a button records the contact when the other app opens, even if you then do not complete the call or send the message. The record shows that you tried, not that the lead answered.
- A lead with no email shows "This lead has no email address." A lead with no phone shows "This lead has no phone number."
- WhatsApp must be installed to open a chat. If it is not, you see "No app on this phone can open that."
Related actions
- Save the lead to your phone contacts from More options > Save to contact.
- Add the lead's next follow-up or birthday to your phone calendar using the Calendar circle. Leadnote opens your calendar app with the event filled in and you save it there.
- Add a voice note under Attachments > Record audio. See App permissions explained.
For group messages and automatic greetings, see the Messaging articles in this Help Center.
Frequently asked questions
Does Leadnote place the call or send the message for me?
No. Leadnote opens your phone's dialer, WhatsApp, messages or email app with the number, address and text filled in. You press the final button there, and the message goes out from your own number or account.
Does Leadnote record calls or read my call log?
No. The app does not ask for call log or phone permissions and does not record calls.
Why is the Call button not working?
The lead may have no phone number. The app then says This lead has no phone number. If no app on the phone can handle the action you see No app on this phone can open that.
Where do I edit the message templates?
In Settings > Templates for WhatsApp and text templates. Email templates are HTML, so you read them in the app but edit them on the web.
