Check in and check out at lead visits in the app

Record a field visit in the Leadnote app with check-in and check-out, see leads and colleagues on the map, and learn how your location is used and when.

Last updated 4 min read

To record a visit, open a lead in the Leadnote app and tap Check-in/out. The app reads your position once, saves it with the visit, and the button then switches to Check out for the end of the visit. Your manager can see the visits in the reports.

Check in

  1. Open the lead you are visiting.
  2. Tap the Check-in/out button in the action strip. The pin icon is also in the quick actions button with the bolt.
  3. If this is the first time, a message "Use your location?" explains that Leadnote reads your position once, only when you tap check-in or use my location. Tap Continue and allow the Android location prompt.
  4. Optionally type a Note.
  5. Tap Check in. You see "Checked in. It is sent when you are online."

The sheet shows your status above the button: "You are not checked in.", "Checked in since ..." or "Checked out at ...". If you have another open check-in, the sheet warns "Another check-in is still open since ...".

Check out

Open the same lead, tap Check-in/out and tap Check out. You see "Checked out. It is sent when you are online." Add a Note if you want to record how the visit went.

If location is off

  • If you decline, the app says "Location was not allowed. Without it the app cannot show what is near you or record a visit."
  • If location is blocked in Android, open the phone settings > Apps > Leadnote > Permissions and allow Location, or tap Open settings in the message.
  • If the position is not available, turn location on in the phone's quick settings and try again.

Offline visits

Check-ins and check-outs are queued like other changes, so you can use them in a basement or on the road. The phone's clock time is stored with the visit. An offline visit that stays unsent for more than 30 days is no longer accepted, so sync when you can. See Offline mode and how sync works.

Capture a lead's address

On the lead form, tap Capture my current location as address in the address section. The app reads your position once and fills the address as far as it can. If it only finds coordinates it says "Location captured. Type the address below." If you decline, you can type the address yourself.

Map view

Tap Map view in the toolbar of the Leads tab.

  • Leads with a saved location appear as pins coloured by potential.
  • A colleague appears while their latest check-in in the last 24 hours has no check-out. Nobody's location is tracked continuously.
  • Tap Use my location to measure distance. Choose a radius of 10 km, 20 km, 50 km or All.
  • Choose Show leads and users, Show leads or Show users from View options. Search by city, state or address.
  • The counts at the bottom show leads shown, leads without a location and people checked in.
  • At most the nearest pins are shown, with a note when the limit is reached.

Seeing people nearby depends on your role ("Your role cannot see people nearby.") and needs a connection ("People near me need a connection."). If a build has no map, the same places are listed below, nearest first.

Reports

Your manager reads visits on the web in the Field Visit Tracker. See Locations Visited and the Field Visit Tracker. On the phone, Reports > Sales Trips opens that web report.

Tips

  • Check in when you arrive and out when you leave so durations make sense.
  • Keep the app updated. An old version may be asked to update before it can send visits.
  • If the visit button is missing, you do not have permission to edit leads. Ask your Account Owner. See App permissions explained for the phone side of location access.

Frequently asked questions

Does Leadnote track my location all day?

No. Your position is read once, only at the moment you tap check-in, check-out, Use my location or Capture my current location as address. There is no background tracking.

Can I check in without internet?

Yes. The visit is saved on the phone with the message Checked in. It is sent when you are online. Visits older than 30 days when they finally reach the server are not accepted.

Why do I not see a Check-in/out button?

The button needs permission to edit leads. Ask your Account Owner about your role.

Why is there no map on my phone?

Some builds of the app show a list instead of a map. The same leads and people are listed, nearest first.
