Set follow-ups and to-dos in the Leadnote app
Schedule a follow-up for a lead, repeat it, mark it done with an outcome, and keep a to-do list with priorities, reminders and due dates in the Leadnote app.
To set a follow-up in the Leadnote app, open a lead, tap Set follow-up, choose when and who it is for, add a note and tap Save. When it is due, the app reminds you with a notification, and you mark it done from the Follow-Ups tab.
To-dos work alongside: they are tasks with a title, due date, priority and optional reminder, kept under the To-do entry of the side menu.
Three ways to start a follow-up
- From the lead: open the lead and tap Set follow-up for the name, or Change follow-up if one exists. The Assignment & Follow-up card shows "Next follow-up" or "Overdue since".
- From the Follow-Ups tab: tap the add button and choose Set follow-up, then pick a lead under "Set Follow-up to".
- From the list: swipe a lead card and tap Follow-up.
Fill in the follow-up
- Assigned to: pick a user. The picker lists your colleagues, and (you) marks yourself.
- Next follow-up date: tap one of In next 1 hour, Tomorrow same time or Next week same time, or tap Custom to pick the date and time. A time in the past is refused with "Pick a time in the future".
- Next follow-up notes: what you plan to discuss. You can dictate with the microphone. Notes are limited to 1000 characters.
- Repeat Follow-up: switch it on and choose Weekly, Monthly, Quarterly or Annually.
- Do not follow-up: switch on to stop reminders for this lead. The app says "No reminders are set for this lead".
- Tap Save. You see "Follow-up saved".
Clear assignments & follow-up removes the assignee and date. Tap Save afterwards to apply it.
The Follow-Ups tab
The tab opens on today. At the top you can:
- Switch between a week strip and the whole month ("Show the whole month" or "Show the week only"). Go to today jumps back.
- Use the user selector to see Everyone or one person. Each user shows their follow-up count.
- Tap the filter icon (Change follow-up timeline) to choose Selected day, Last 7 days, Next 7 days, All overdue or All upcoming, and to filter by Lead stage and Potential.
Each row shows the lead, the time and the status: Due in ..., Due now, Overdue or Done. A follow-up created offline carries Not sent yet until it is sent.
Complete a follow-up
- Tap Mark as done on the row.
- Under "What happened? (optional)" type the outcome.
- Tap Mark as done.
You see "Follow-up marked as done". The outcome note is recorded with the follow-up. If you want another follow-up, set the next date from the lead.
To-dos
Open the menu and tap the To-do entry (the first one), or choose To-do from the add button. Three tabs organise the work: To-do, In-progress and Done. A search box and a filter help you find tasks. Filters are Priority, Critical only and Overdue only.
To create one, tap New to-do and fill in:
| Field | Notes |
|---|---|
| Title | Required, up to 200 characters. |
| Description | Optional details. |
| Category | From the categories your account owner manages on the web. |
| Priority | Low, Medium or High. |
| Critical | A switch for urgent tasks. |
| Due date and time | Required, and it must be in the future. |
| Reminder | No reminder, At due time, 15 minutes before, 30 minutes before, 1 hour before or 1 day before. The form starts at 30 minutes before. |
| Repeat | Does not repeat, Daily, Weekly or Monthly. |
| Linked lead | Optional. Cannot be changed after the to-do is created. |
| Add to phone calendar | A switch that writes the to-do into your phone's calendar app. |
| Assigned to | The person responsible. To-dos are shared with the people you assign them to. |
On a to-do card, open the menu (More actions) to Edit, Move to in-progress, Mark as done or Delete. Deleting removes the to-do for everyone and cannot be undone. On a lead, the quick action button with the bolt icon also starts a Task for that lead.
Reminders and settings
Follow-up reminders ring at the due time. To-do reminders ring before the due time by the amount you chose. Both are planned on the phone, so they ring offline. How they work, and what to check when one does not ring, is in Notifications and reminders on mobile and Follow-up and to-do reminders.
In Settings, Follow-up settings shows your phone's notification status, a help link for missing reminders, and your organisation's working week and holidays (set on the web, read only). The to-do row in Settings opens your to-do list and shows the task categories, which the web manages and the phone receives at the next sync.
Everything here works offline, and changes are sent when you reconnect. The web equivalents are Schedule a follow-up, Tasks and to-dos and the Follow-up calendar.
Frequently asked questions
Who gets the reminder for a follow-up?
The person the follow-up is assigned to. If it has no assignee of its own, the lead's assignee gets it. A lead flagged Do not follow-up gets no reminders.
Can I schedule a follow-up in the past?
No. The app asks you to pick a time in the future.
How long can a follow-up note be?
Up to 1000 characters. A to-do title can be up to 200 characters.
Can I change the lead of an existing to-do?
No. The linked lead is fixed once the to-do is created. Create a new to-do if it belongs to another lead.
