Leadnote app notifications and follow-up reminders

Understand the Notifications tab and the reminders that ring for follow-ups and to-dos, and fix missing reminders with the phone checks Leadnote recommends.

Last updated 4 min read

The Leadnote app tells you about activity in two ways: the Notifications tab, which lists what your colleagues did on your leads, and reminders that ring on your phone when a follow-up or a to-do is due. Both depend on the phone allowing notifications for Leadnote.

The Notifications tab

Open the third tab on the home screen. A badge on the tab counts unread notifications ("N new notifications").

The list is grouped by the person who did something. Each entry says what happened, for example Assigned the lead, Added a comment, Updated the follow-up, Changed the stage, Logged a call, Logged a WhatsApp message, Logged a text message, Logged an email, Logged a meeting or Updated the lead. New items carry a New label. Tap an entry to open the lead.

What you can do:

  • Search notifications with the search box.
  • Tap More options > Mark all as read, or Delete all.
  • Delete a single notification, with Undo shown for a moment.

When it is empty you see "You are all caught up. When a colleague assigns, updates or comments on a lead, it shows up here."

The Notifications tab fills from the data the app syncs, so it updates when the app syncs. Opening the app, returning from the background and the periodic sync all refresh it. See Offline mode and how sync works.

Reminders on your phone

Leadnote schedules reminders on the phone from your synced data.

  • A follow-up reminder rings at the due time (Android may deliver it a few minutes late when the phone is in deep sleep). The title reads "Follow-up: " plus the lead's name, and the text shows the time and your note. It only rings for a follow-up that is pending, assigned to you (or to the lead's assignee when the follow-up has none), and whose lead is not marked Do not follow-up.
  • A to-do reminder rings before the due time by the amount you chose: at due time, 15 or 30 minutes, 1 hour or 1 day before. The title reads "To-do: " plus the title.
  • Tapping a reminder opens the lead or the to-do.
  • The phone holds the nearest 48 reminders. Later ones are scheduled as time passes, so keep opening the app now and then.
  • Done, cancelled, reassigned or deleted items stop ringing after the next sync.

The first time you set a reminder, Android 13 and newer shows the notification permission prompt. If you choose Don't allow, the app still works but reminders do not appear.

Not getting reminders? Check these

The reminder help screen is reachable from the follow-up form (Not getting Follow-up reminder?) and from Settings > Follow-up settings (Not getting follow-up reminders?). It checks Leadnote's status ("Notifications are on for Leadnote" or "Notifications are blocked for Leadnote") and lists three checks:

  1. Notifications are allowed: Phone settings > Apps > Leadnote > Notifications must be on. Without it a reminder never appears.
  2. Battery use is not restricted: Phone settings > Battery > Leadnote must be Unrestricted (or Not optimised). Battery savers can delay or drop reminders.
  3. Do not disturb is off: in Do not disturb notifications are silenced. Turn it off or allow Leadnote as an exception.

Tap Open phone settings to jump there. Under these steps the screen adds that no special permission is needed.

Other causes:

  • The follow-up has not synced to this phone yet. Tap Tap to sync data.
  • The lead is assigned to someone else, so the reminder rings on their phone.
  • On some phones the manufacturer adds its own battery manager. Allow Leadnote to auto-start and run in the background there.

Email and WhatsApp notices

Notification settings under Settings > Application settings lets you choose which messages you receive by e-mail and WhatsApp. The groups are E-mail ("A lead is assigned to me", "Someone comments on my lead"), WhatsApp (the same two) and Product news (product updates, offers and promotions), plus a This phone group that shows whether the phone allows notifications. These choices are saved on your account, so they follow you across devices. There is no switch for follow-up or to-do reminders: they follow the follow-up or to-do itself, as described above. Some of these switches need a connection to change.

Frequently asked questions

Why did my follow-up reminder not ring?

Check three things on the phone: notifications are allowed for Leadnote, battery use is not restricted for Leadnote, and Do not disturb is off or allows Leadnote. Also check that the follow-up is assigned to you and the lead is not marked Do not follow-up.

Do I need to allow Draw over other apps or Alarms and reminders?

No. Leadnote shows normal notifications and does not need those special permissions.

Do reminders work offline?

Yes. Reminders are scheduled on the phone from the data you have already synced, so they ring without a connection.

Where do I choose which emails and WhatsApp messages I get?

Open Settings > Notification settings. The choices cover lead assignment, comments on your leads and product news, and follow your account on every device.
