Reports
Locations Visited and the Field Visit Tracker
Track where your sales team has been. See check-ins and check-outs from the mobile app by user, customer and date, with a map link for each place.
The Field Visit Tracker lists the check-ins and check-outs your team made at customer locations. Open Reports, then the Sales Trips card. The page title in the menu is "Field Visit Tracker". Choose the dates, click Run Report, and read the table. Visits are recorded by people in the mobile app, so the report fills as your field team uses it.
How visits get here
Check-in and check-out are done in the mobile app, never on the web, and only by people whose role can edit leads. The app reads the position once, when the person taps, and does not track anyone in the background. A visit made offline is sent when the phone reconnects, so it can appear in the report later. The steps, privacy details and the map view are in Check in and check out at lead visits.
Run the report on the web
The Filters card has these fields:
- Team, when your organisation has teams.
- Assigned To: the team members to include. Owners and Managers can pick anyone. Other users see themselves, plus their teammates when team visibility is on.
- From Date and To Date. The From Date is required. If you leave To Date empty it uses today. A run covers at most 366 days.
- Region and Branch are shown greyed out with a Coming soon badge. They do nothing yet.
Click Run Report. Clear resets the filters.
Read the results
The table title shows the number of records, for example Visit Records (42). Pills show the Check-ins, Check-outs and Members counts for the period. The table has 25 rows per page, with Prev and Next buttons, and the headers for Team Member, Trip / Visit Date, Customer, Contact, Location Visited and Visit Notes can be clicked to sort. It opens sorted by date, newest first.
| Column | What it shows |
|---|---|
| Team Member | The user who made the visit |
| Trip / Visit Date | The date and time, in your organisation's time zone |
| Customer | The lead's company, or "Not set" |
| Contact | The lead's name |
| Location Visited | The address, as a link to a map. If the app saved no address, the coordinates are shown. "No location" appears if there is no position |
| Visit Notes | A Check-in or Check-out tag with the note typed in the app |
The Region, Branch and Team columns are present but always show a dash.
If nothing matches, the page says No field visits found for the selected filters. Try a wider date range or another team member.
Other places visits appear
- Activity Report, type Field Visit Report, lists each check-in and check-out in a date range. See Activity Report.
- Team Performance has a Locations Visited metric under App Metrics. It counts check-ins only. Click the number to see the addresses and times. See Team Performance report.
- On the mobile map view, a colleague appears while their latest check-in from the last 24 hours has no check-out.
Print and export
Print gives a clean page with a heading. Export downloads a CSV with the number, team member, date, check-in or check-out, customer, contact, location, latitude, longitude and notes, up to 5,000 rows. Exporting needs the Reports export permission, which by default belongs to the Account Owner and Managers. See export and print reports.
Frequently asked questions
Can I check in from the web app?
No. Check-in and check-out are done in the mobile app. The web reports only show the visits the app recorded.
Does Leadnote track my team's location all day?
No. The app reads the position once, at the moment someone taps check-in or check-out, and saves it with that visit. It does not track in the background.
Why do my team's visits not show up yet?
A check-in made offline is saved on the phone and sent when the phone is back online. The visit appears in the report after that.
