Export and print Leadnote reports (CSV and PDF)

Download Leadnote reports as CSV files or print them to paper or PDF. Learn which reports can be exported, the row limits, and who is allowed to export.

Leadnote reports download as CSV files and print cleanly from your browser. Look for Download Report or Export on the report, and Print next to it. CSV files open in Excel, Google Sheets and Numbers. To keep a PDF, print the page and choose Save as PDF.

What can be exported

Report Button File contents
Activity Report Download Report The rows of the chosen report type, up to 5,000
Team Performance Export One row per person with each metric and its change, plus a Total row
Team Performance by team Export One row per team with a Members column, plus a Total row
Sales Trips (Field Visit Tracker) Export Visits with latitude and longitude, up to 5,000
Account Insights Download (Overall Usage tab) Monthly or yearly usage table
Data Analytics Print only No CSV
Dashboard None No print or CSV button

The export uses the filters currently set on the page: report type, users, team, category, timeline or dates. The Activity Report and Sales Trips are limited to 366 days per run.

Export a report

  1. Set the filters until the report shows what you want.
  2. Click Download Report (Activity Report) or Export (the other reports).
  3. Your browser saves the file. Leadnote shows "Export downloaded successfully."

File names carry the report and the dates, for example team-performance-sales-performance-2026-10-25-to-2026-10-31.csv or field-visits-2026-10-01-to-2026-10-29.csv.

If the download fails, you see "The export failed. Please try again." or the reason from Leadnote, such as a date range that is too long.

How the CSV is written

  • Plain CSV, with commas between values and a UTF-8 byte order mark at the start.
  • The first row holds the column names, in English.
  • Text that a spreadsheet could read as a formula, because it begins with =, +, - or @, is saved with a leading apostrophe. This protects you from formulas hidden in lead names or notes.
  • Team Performance files have a "change vs previous period" column next to every metric. Durations are written as hours, minutes and seconds. Deal Value is a plain number in the currency selected on screen.
  • Activity Report transaction rows keep each row's own currency and amount, and add a column converted to your base currency.

Who can export

Exporting needs the Reports export permission. By default the Account Owner and Managers have it, and L1 and L2 users do not. For people without it the button is visible but inactive, and hovering explains why. The Account Owner can grant it in the permission matrix.

Every report export is recorded in the audit log with the report name, the dates and the number of rows. See the audit log for who can read it.

Account Insights is the exception. Its Download button builds a small CSV in your browser and does not need the export permission, but the page itself is only for Owners and Managers.

  1. Open the report and set the filters.
  2. Click Print.
  3. In the print window, pick a printer or Save as PDF.

The printout hides the menu, the top bar and the filter controls. It adds a heading with the report name, your organisation and "Printed" with the date. Print is available on the Activity Report (once you have chosen a type and dates), Team Performance, Team Performance by team, Sales Trips (when the report has results), Data Analytics and Account Insights.

Export leads

Lead exports are separate from reports. On the lead list, open Export to download leads as a CSV file, choosing the fields to include. You can export the rows you selected or everything in the current filter. This needs the Leads export permission, which by default belongs to the Account Owner, Managers and L1 Users. The steps and the Data page are covered in export your data.

On the mobile app

The Insights stage table on the phone has an Export to Excel button. It does not save a file on the phone. An Account Owner or Manager can tap Prepare export, and Leadnote prepares the spreadsheet of the filtered leads on the server. Then you download it from the Data page in the web app. Other users are pointed to the web app instead.

For what each report contains, start at the reports overview.

Frequently asked questions

Can I export a report as an Excel file?

Reports download as CSV files, which Excel opens directly. The file starts with a byte order mark so accented and non-English characters display correctly.

How do I save a report as a PDF?

Click Print on the report, then choose Save as PDF as the destination in your browser's print window.

Why can I not download a report?

Exporting needs the Reports export permission. By default only the Account Owner and Managers have it. The Account Owner can change this in the permission matrix.
