Reports
Team Performance report - by user and by team
Compare sales, lead activity, calls and quotes per person or per team for any period, see the change against the last period, and open the records.
Team Performance shows one row per person with the numbers that matter for the period you pick, and a total row at the end. Open Reports, then Team Performance, choose a category and a timeline, and read the table. Click a number to see the leads or records behind it.
Set up the view
Four filters sit at the top:
- Report category: Sales Performance, Lead Management Activity, Customer Communication or App Metrics. The page opens on Sales Performance.
- Timeline: Today, Yesterday, Current Week, Last Week, Current Month, Last Month, Current Year, Last Year, Lifetime or Custom Date Range. The page opens on Current Week, and each fixed option shows its dates. For a custom range, fill From date and To date. The start must be on or before the end.
- Team: shown when your organisation has teams.
- Team members: choose people, or leave All Members.
Weeks run from Sunday to Saturday. Current Month and Current Year end today. Lifetime starts at the earlier of your account creation date and your oldest lead. All days are in your organisation's time zone.
Owners and Managers can include anyone. L1 and L2 users see only themselves, plus their teammates when team visibility is on. See lead visibility rules.
Read the table
The column headers carry the total for all selected people. Each cell shows the value and the change against the previous period. The previous period has the same number of days and ends the day before your period starts. The change shows an up or down arrow and a percentage, New when the earlier value was zero, 0% when both are zero, and a dash when a number is unavailable.
What each metric counts
| Metric | How it is counted |
|---|---|
| Deals Won | Leads now sitting in a Won stage. They are dated when they entered the Won stage, and credited to the assigned user, or to the creator if nobody is assigned. |
| Deal Value | The deal sizes of those won leads. |
| Reward Points | 50 per deal won, 5 per lead added, 2 per call, 1 per comment and 10 per check-in. |
| Leads Added | Leads the person created in the period. |
| Comments Added | Comments the person posted on leads. |
| Leads Assigned | Assignments in the period, credited to the person who received the lead. |
| Incoming Calls, Outgoing Calls | Calls logged on leads. A call with no direction, such as one logged by the Call button, counts as outgoing. |
| Calls Duration | Total talk time recorded on calls. Calls logged with the Call button have no duration. |
| Texting, Email, WhatsApp Activities | Text, email and WhatsApp entries logged on leads. |
| Quotes, Invoices Created | Quotes and invoices the person created. |
| Locations Visited | Check-ins recorded in the mobile app. |
Leads Added, Deals Won and Deal Value leave out the sample lead that Leadnote creates at sign-up. Calls and the other communication counts come from the lead timeline, described in lead activity history.
Deal Value and currency
On the Sales Performance category, a Deal value currency switch appears: Base currency, Native, or one currency of your choice. Base converts each deal at the rate saved when it was sized. A deal without a rate is left out and a notice explains it. In Native view the table still shows the base figure, and a line above it lists the totals per currency.
Open the records behind a number
Click a value to open a side sheet with up to 200 records. It shows the lead name, company, email, mobile and the time. For Locations Visited it shows the address and time instead. Reward Points and Calls Duration cannot be opened.
View by team
If your organisation has teams, View by team opens the same metrics summed for each team. Use the Teams filter, which has a My teams shortcut.
- A person in several teams counts in each of them, so team rows can add up to more than the Total row. The total counts each person once.
- Owners and Managers also see an Unassigned team row for people in no active team.
- Team rows do not open records. Use View by person to go back.
- Users who are not Owners or Managers need team visibility. With visibility set to team, they see the teams they belong to. With team leads only, they see the teams they lead. Otherwise the page explains that team reports are for Owners, Managers and team leads.
See create and manage teams for team setup.
Print and export
Use Print for a clean page with a heading, or Export to download a CSV with the current values and the change for every metric. Export needs the Reports export permission. See export and print reports.
On the mobile app
Open Reports, then Team Performance. It is read only and needs a connection. Pick a category, a period (Today, Yesterday, this or last week, month or year, or Lifetime) and a person. There is no custom range in the app, and the by-team view is on the web.
Frequently asked questions
How is the change percentage worked out?
Leadnote compares the period with the one before it, which has the same number of days and ends the day before. It shows New when the earlier period was zero and a dash when a value is unknown.
How are Reward Points calculated?
50 points per deal won, 5 per lead added, 2 per call, 1 per comment and 10 per check-in. The points are for the chosen period.
Why can't I open the View by team page?
Team reports are for Owners, Managers and team leads. Other users need team visibility turned on for their organisation, and only see their own teams.
