Leadnote dashboard: funnel, tabs and follow-up schedule

Read the Leadnote dashboard: choose lists, use the six tabs for stage funnel, deal size, groups, tags and potential, and the follow-up schedule below.

Last updated 6 min read

The dashboard is your opening screen. It counts your leads by stage, deal size, product group, customer group, tag and potential, with a follow-up schedule underneath. Open Dashboard in the left menu, or the Sales Insights card on the Reports page. Choose the lists to include, pick a tab, and click any number to see the leads behind it.

Pick the lists

At the top you see Welcome, your name! and a pill that reads Selected List: followed by the list name, or Selected Lists: 3 when you pick several. Click the pill to open the List Selector.

  1. Search by list name, or sort by lead count with the sort button.
  2. Tick the lists to include, or tick Select all lists.
  3. Click Proceed.

Leadnote remembers your last choice. The first time, it picks your sample list if you still have one, otherwise your oldest list. The figure next to the pill reads All Leads when every list is selected and Filtered Leads otherwise. Click it to open the lead list with the same lists applied.

If your organisation uses teams, a Team filter sits next to the pill and narrows every tab to leads assigned to members of that team. See create and manage teams.

Owners and Managers can pick any list. Other users only see lists that contain leads they may see. If none qualify, the page says No lists available yet, and your Account Owner or a Manager has to give you access to a list.

What counts as a lead

Every tab counts leads that are neither deleted nor archived, so the totals match the lead list. A lead that has no value for a tab, for example no potential, is counted in a separate row where needed, so the rows still add up.

A new account starts with a Sample Leads list holding one record, your own sign-up entry. It is counted on the dashboard like any lead, but it is left out of the team and activity reports. As soon as you add or import real leads, the numbers start to move. The first-week checklist shows the order in which to fill it.

The six tabs

Tab What it shows
Lead Stage One row per active stage with its lead count, a Won or Lost badge on those stage types, and a Total Leads row. A funnel chart sits next to it.
Deal size For each stage: how many leads carry a deal size, and the value of those deals.
Product Groups Leads per product group, sorted by count.
Customer Group Leads per customer group, plus a Not Assigned row.
Tags Leads per tag, shown as a bar chart.
Potential High, Medium, Low and Not Relevant. A Not set row appears only when some leads have no potential.

On the Lead Stage tab, switch between Funnel chart and Donut chart with the two buttons beside the tabs. Owners and Managers also see a small cog labelled "Customize lead stages: Add, rename, reorder", which opens the stage settings in a new tab. See lead stages.

A lead can carry several product groups or customer groups, and it counts once in each. Charts and legends for groups and tags show the top 10 only, and the table lists the rest.

Almost every number is a link. Click a count or a row and the filtered Leads & Customers list opens in a new browser tab with that stage, group, tag or potential and the selected lists already applied. Spot a stage with many leads, click the number, and you are looking at exactly those people.

Deal size and currency

The Deal size tab has a Deal size currency switch. Use it to choose how deals in different currencies are added up.

  • Base currency converts each deal at the rate recorded when the deal was sized.
  • Native shows each currency on its own. Nothing is converted.
  • Currency converts every deal into one currency you pick, at the rate of the deal's date.

When a converted view is on, a converted badge appears. Deals without an exchange rate are left out of the total and a notice names them. Owners and Managers see a link to add the rate. More in currencies in sales documents. You can sort the table by stage, deals or value.

The follow-up schedule

Below the tabs, the Follow-up schedule lists leads by their next follow-up date. A sentence above the table counts the results, for example "3 follow-ups scheduled for today" or "2 follow-ups are overdue in total". It has two filters:

  • Assigned To: all users, or any selection of users.
  • Follow-up Timeline: choose one of the periods below.
Timeline Leads shown
Today Follow-up due today
Next 7 days Due from tomorrow to seven days ahead
Last 7 days Due from seven days ago to yesterday
All overdue Due before today
All upcoming Due from tomorrow onwards
Date to be set Assigned leads with no follow-up date

Days are taken in your organisation's time zone, so the whole team sees the same schedule. The table shows Name, Organization, Potential, Product Groups, Customer Group, Assigned To, Next Follow-up Date, Follow-up Notes and a View Lead button, eight rows per page. When nothing is due, the card reads "No Follow-ups due on this day". To create or change a follow-up, see Schedule a follow-up.

In the mobile app

The Insights button on the Leads screen opens a stage table with lead counts and deal value per stage. Filter it by lists, by Assigned to, and by Lead addition period (Lifetime, Today, Yesterday, the last 7 or 30 days, the last 3, 6 or 12 months, or a custom range). The counts cover the leads saved on the phone. Follow-ups have their own tab in the app. For the full picture, see reports overview.

Frequently asked questions

Why does my dashboard say no lists are available?

No list that holds leads you may see has been shared with you yet. Ask your Account Owner or a Manager to give you access to a list, and the dashboard fills in.

Why is the lead count on the dashboard different from my leads list?

The dashboard counts only the lists you selected in the List Selector, and the Filtered Leads figure follows that selection. Deleted and archived leads are never counted. Clicking the figure opens the lead list with the same lists applied.

Does the follow-up schedule change when I pick other lists?

No. The schedule is not tied to the list selector. It covers assigned leads you can see, and only the Assigned To filter and the team filter narrow it.

Why is a lead missing from the follow-up schedule?

Only leads that are assigned to someone appear, and archived or deleted leads are left out. A lead with no assignee is not listed under any timeline except Date to be set, which also needs an assignee.

Does the dashboard remember what I last looked at?

Yes. Your last tab, funnel or donut choice, selected lists and follow-up filters are saved for your user and come back next time.
