Leadnote has a sidebar for your main screens, a top bar for search, quick create, help and your account, and two centres, the Hub and Settings, for everything else. If you are lost, press Ctrl+K and type the name of what you need.

The sidebar

The sidebar lists the main areas in this order:

  • Dashboard - the overview described in the dashboard article.
  • Lists - the groups your leads belong to.
  • Leads & Customers - an expandable item with All Leads & Customers, Stagnant Leads, Unattended Leads, Data Clean Up (merge duplicates) and Add Leads.
  • Sales Tools - products, quotes, sales orders and invoices.
  • Tasks & To-do - your task list.
  • Follow-up Calendar - scheduled follow-ups and tasks by day.
  • Campaigns - email, SMS and WhatsApp tools.
  • Reports - activity, team performance and analytics.

Settings and Hub are pinned at the bottom. Above them sits your Favourites menu. Use the panel button at the left of the top bar to collapse the sidebar into a narrow icon rail, or to open and close it on a phone-sized screen.

Items you are not allowed to use do not appear. Roles and permissions are explained in Roles and permissions overview.

The top bar

From left to right the top bar holds:

  1. The page title.
  2. Search, with the hint Ctrl K.
  3. Ask Leadnote AI, which opens a chat panel. See Use Leadnote AI.
  4. Quick create (the plus button).
  5. Help (the question mark).
  6. Your avatar, which opens the account menu.

Quick create

The plus button offers Lead, Task, List, User, Quotes, Sales Order, Invoices and Products, but only the ones your role may create. It is the fastest way to add a record without leaving the screen you are on. Choosing Lead opens the add-lead form over the leads list.

Help menu

The Help menu has Onboarding, Aha! Moments, Help Center, Knowledge Base, Demo Videos, Keyboard shortcuts, Contact Support, Product Updates, WhatsApp us (only when your Leadnote has a support number set up) and Register for Demo. Onboarding and Aha! Moments reopen the product tour and the welcome wizard (see Welcome wizard and product tour).

Account menu

Your avatar shows your name, email, role and plan, for example Free trial. Below that: Upgrade / Renew, Refer & Earn, Download Mobile App, My profile, Settings, Language and Log out.

Press Ctrl+K (Cmd+K on a Mac) anywhere, or select Search.

  1. Choose what to search in the left rail: Leads & Customers, Lists, Menu & Settings, Products, Quotes, Invoices or Tasks & To-do. Alt+1 to Alt+7 switch between them.
  2. For leads, you can narrow the search to one field, such as Email, Phone Number, Company or Website, or leave All Fields.
  3. Type at least two characters. Results appear as you type, and Recent searches are offered when the box is empty.
  4. Use the Up and Down arrows to move and Enter to open the highlighted result. Esc closes search.

Choose Menu & Settings to jump to any screen by name, such as "Lead Stages" or "Working hours". Deleted leads and archived products are not shown in results.

Keyboard shortcuts

Keys What it does
Ctrl+K or Cmd+K Open global search
Alt+1 to Alt+7 Switch search area while search is open
Up, Down, Enter Move through and open results
Esc Close search, menus, panels and dialogs
? Show the shortcut list (outside a text field)
Enter and Shift+Enter Send, or start a new line, in a Leadnote AI message

On the leads board, focus a card, press Space to lift it, use the arrow keys to move it between stage columns, and press Space again to drop it. Shortcuts are ignored while you type in a field.

Favourites

Pin the pages you open every day.

  1. In the sidebar, select Manage Favourites Menu (shown as Set up your Favourites Menu until you have saved some).
  2. Tick up to ten items. The counter reads, for example, "4 / 10 selected".
  3. Drag them into the order you want under Your order, or use the Up and Down arrow keys on a focused item.
  4. Save. You see "Favourites saved", and the pages appear in your sidebar.

Favourites belong to your user, so each teammate keeps their own.

The Hub and the Settings centre

Hub is a feature discovery centre. It has a search box (Search features...), a Most Used Features row and eight categories: Lead Management, Sales Pipeline, Communication, Data Management, Reports & Analytics, Settings & Administration, Sales Tools and Support & Subscription. Each card says in one line what a feature does and links to it. If a feature is missing, Request a new feature opens the support form with the type set to Suggestion and a message started for you.

Settings is a similar centre for configuration, grouped into Organisation Settings, Application Settings, the apps and platforms you can connect, Data Management, Billing and Account Insights. It has its own Search settings... box.

Frequently asked questions

How do I search for a lead from any screen?

Press Ctrl+K (Cmd+K on a Mac) or select Search in the top bar, pick Leads & Customers on the left, and type at least two characters. Press Enter to open the highlighted result.

How many favourites can I pin?

Up to ten. Open Manage Favourites Menu in the sidebar, tick the pages you use most, drag them into order and save. Favourites are personal.

Where is the full list of keyboard shortcuts?

Press the question mark key outside a text field, or open the Help menu in the top bar and choose Keyboard shortcuts.

Why can I not see some menu items my colleague has?

Menus follow your role. The owner can change what each role may view, create, edit, delete and export, so someone with a different role can see a different sidebar.
