Getting started

Use Leadnote AI and check your AI credits

Open Ask Leadnote AI for quick answers about leads, stages and follow-ups, see what it cannot do, and find your AI credit balance, history and credit packs.

Leadnote AI is a chat assistant built into the web app. Type a question about your leads and it answers from your account data with numbers, short lists and links to the matching screen. It is a quick way to check your pipeline without opening several pages. A separate page shows your AI credits, the allowance that goes with your plan.

Open the assistant

There are four ways in:

  1. Select Ask Leadnote AI in the top bar. A chat panel slides in beside your page.
  2. Select Ask Leadnote AI on the banner "Ask Leadnote AI about your leads" that sometimes appears at the top of the app. You can dismiss it.
  3. On a lead's page, use the sparkle button in the profile card ("Research this lead with Leadnote AI"). It opens the same chat panel. It does not look the lead up for you, so ask your question in full.
  4. In the panel, choose Open full page to continue in a full-size chat.

Press Esc or use the close button to hide the panel. The first message reads "Hi (your name), I'm Leadnote AI, how can I help you today?" and offers four suggestions you can click:

  • Show me high potential leads
  • View today's follow-up leads
  • Show me recently added leads
  • Generate a sales performance report

What you can ask

Leadnote AI recognises topics by key words in your message. Plain phrases work best.

You ask something like What you get
"How many leads do I have?" Your total lead count, and how many are not assigned to anyone yet, with a link to Leads & Customers.
"Show leads by stage" or "pipeline" Your leads per stage, with a link to the dashboard.
"Generate a sales performance report" or "summary" A sales snapshot: total leads, how many are won and how many are lost, with the per-stage numbers.
"View today's follow-ups" How many follow-ups are scheduled today and how many are overdue, with a link to the Follow-up Calendar.
"Show me recently added leads" Your five newest leads, each a link to the lead.
"Show me high potential leads" Up to five of your latest High potential leads, as links.
"Which lists do I have?" Your active lists with lead counts.
"How many tasks do I have?" The number of open tasks assigned to you, with a link to Tasks & To-do.

The follow-up answer covers leads assigned to you or not assigned to anyone yet. Numbers follow the same counting rule as the dashboard, so deleted and archived leads are not included. If Leadnote AI does not understand the message, it replies with a few example questions you can try.

What it cannot do

  • It does not create, edit, assign or delete leads, and it does not send emails, SMS or WhatsApp messages.
  • It does not run exports or reports beyond the figures above.
  • It does not remember context between questions. Ask each one in full.
  • It is not a language model. The panel says "Local demo assistant: answers from your account data, not a language model" and reminds you that "AI can make mistakes. Consider verifying important information", so open the linked screen when a number matters.

Conversations and history

  • Each chat is saved. Select Conversations to see Recent Chats, and New Conversation to start fresh.
  • Clear History removes all your conversations. Other users' chats are never visible to you, and yours are not visible to them.
  • Messages can be up to 4,000 characters. The counter appears as you type.
  • Press Enter to send and Shift+Enter for a new line.

If you see "Leadnote AI is not reachable. Try again.", your connection or the server is briefly unavailable. Wait a moment and send the message again. If it keeps happening, use Contact Support in the Help menu.

Your AI credits

Open Settings, then Leadnote AI Credits. The Account Owner and Managers can view the page. The same view also appears as the AI Credits tab on the Users page.

Item What it shows
Current credit balance Credits you have now
Used this cycle Credits used in the current cycle, as a meter against the monthly allowance, with the date the allowance renews
Credit history Date, Type, Details, Credits and Balance for each change

Types in the history are Plan credits, Purchase, Usage and Adjustment. You can search the history and sort its columns, and it is paged. Each plan comes with a monthly credit allowance. The Manage Plan page shows "AI credits this cycle" next to your users and leads, see plans, seats and usage.

Buy more credits

Under Top up credits, the page lists credit packs, each with its credits, price and price per credit. Prices depend on your currency, so read them on the page. Only the Account Owner can buy packs.

  1. Select Buy beside a pack. The dialog "Buy (number) credits" opens.
  2. Review the amount, including tax where it applies.
  3. Complete the payment step, as in upgrade and payments.
  4. After the payment is confirmed, the purchase appears in Credit history. The invoice is listed with your others, see Leadnote invoices and billing information.

The page says purchased credits never expire. If you see "Credits could not be loaded", refresh the page and try again. A user without billing access sees a notice that they do not have access.

Frequently asked questions

What can I ask Leadnote AI?

Questions about your own data: how many leads you have, leads by stage, follow-ups due today and overdue, recently added leads, high potential leads, your lists, your open tasks, and a short sales snapshot.

Is Leadnote AI a general chatbot?

No. The panel labels it a local demo assistant: it recognises key words in your message and answers from your account data, not with a language model.

Can Leadnote AI create or edit leads for me?

No. In the current version it answers questions and links you to the right screen. You still add and change leads yourself.

Does it see leads I am not allowed to see?

No. Answers are limited to the leads your role and list access let you see, so they match what you would see on the dashboard and the leads list.

Are my chats saved?

Yes, your recent conversations are kept for you only. Open Conversations to revisit one, or choose Clear History to remove them all.

Where do I see my AI credit balance?

Open Settings, then Leadnote AI Credits. The page shows your balance, what you used this cycle and a history of credit changes.

Who can buy AI credits?

The Account Owner. Managers can view the balance and history.
