Leadnote plans, free trial and usage limits

Understand the Leadnote 14 day free trial, the Free, Essential and Enterprise plans, how lead capacity and AI credits are counted, and where to see usage.

Last updated 4 min read

Every Leadnote account has a plan. New accounts start on a 14 day trial. After that you choose a paid plan, Essential or Enterprise, and pay per user. This article explains the plans, what the usage meters count and where to see your own numbers.

Your plan page

Open Settings, then Plans & Billing. The page is called Manage Plan and has three columns.

  • Current plans. Plan, Status (Active, Cancelled or Inactive), Users, Lead capacity and "Expires on".
  • Usage. Meters for Users, "Leads / customers" and "AI credits this cycle", each shown as used out of the limit.
  • Last payment, Payment methods, and Modify subscription.

The numbers on this page are the truth for your account. Limits can be set for an individual account, so they may differ from what another account sees. This article does not quote them for that reason.

The trial

When you sign up, Leadnote starts a 14 day trial on the trial plan, shown as "Large Plan trial". The page tells you how many days are left, and a tab named "Upgrade your Plan" sits on the right edge of the screen while you are on the trial. The trial has its own limits for users, leads and customers, and AI credits, shown in the Usage column.

When the trial ends, the plan page says "Your trial has ended. Choose a plan to keep capturing and managing leads." Select Upgrade plan to pick a paid plan. To upgrade at any time during the trial, see upgrade and payments.

The plans

Plan What it is
Free For a single user. You cannot buy it. An account moves to Free when a paid plan runs out and is not renewed.
Essential Described on its plan card as "Everything a small sales team needs". You choose the team size.
Enterprise Described as "Advanced controls for larger teams". You choose the team size.

The Upgrade Plan page shows the features and limits of each plan, and the prices in your currency. Using your own email API provider for sending needs a paid plan. Message quotas also depend on the plan, see messaging overview.

Users and seats

A seat is one active user, and deactivated users do not use one. On a paid plan, "Users" is the team size you bought, from 1 up to 1,000. You can never buy fewer seats than you have active users. Leadnote shows "Your account has 8 users. Please choose a team size of at least 8 or deactivate users first."

To add seats, go to Modify subscription and choose Add users. What counts as a seat, what happens when all seats are used and how to free one are in user seats and limits.

Lead capacity

Lead capacity is the number of leads and customers your plan lists. The Usage section shows how many active leads you have against that number. Deleted and archived leads are not counted.

AI credits

Each plan includes a monthly allowance of Leadnote AI credits, shown as "AI credits this cycle". See Leadnote AI and credits for what uses credits and how to buy more.

What happens when a paid plan ends

Seven days before the end date, the plan page shows a notice such as "Your plan renews tomorrow" or "Your plan ends in 3 days", with a Pay now button. After the date, you get a grace period, and a notice says how many days are left. If payment still does not arrive, the plan is downgraded or the account is suspended, depending on how the platform is set up. Your data stays safe, and paying restores the plan. Read plan expired or account suspended for the full picture.

Who sees what

Role Plan page
Account Owner View, upgrade, renew, cancel, buy seats and credits, edit billing information
Manager View plan, usage and invoices
L1 User, L2 User No access

The Account Owner can change the view access in the permission matrix, but paying for or changing the plan always stays with the Account Owner.

On your phone

The Leadnote mobile app has a read-only Plans and Usage screen with your plan, status and usage. It points you to the website for changes, because plan changes and payments happen in the web app.
