Set working hours and holidays in Leadnote

Set your organisation's weekly opening hours and company holidays in Leadnote, and see exactly where the schedule is used, such as round-robin distribution.

Last updated 5 min read

Working hours are one weekly schedule for your whole organisation, and holidays are the dates your company is closed. Leadnote reads the schedule in your organisation time zone. By default it is Monday to Friday, 09:00 to 18:00, with Saturday and Sunday closed.

Where to find it

  1. Click Settings in the sidebar.
  2. Open My Organization Profile.
  3. In the side panel, find the Working hours and holidays card and select Open.

The page is titled Working hours.

Set the weekly schedule

The page lists the seven days of the week. For each day:

  1. Use the switch beside the day to mark it open or closed. A closed day shows Closed.
  2. For an open day, set the opening and closing time. Times use the 24 hour clock, for example 09:00 to 18:00.
  3. To reuse one pattern, set Monday and select Copy Monday's times to all days. Only the times are copied, so a closed day stays closed.
  4. Select Save. The button becomes active once you change something, and a message confirms "Working hours saved".

Under the schedule Leadnote shows the weekly total, for example "45 hours per week".

The closing time must be later than the opening time. Otherwise the page shows "Closing time must be after opening time" and does not save. A time in the wrong format shows "Use HH:MM (24 hour)".

Add company holidays

The Holidays card lists the days your company is closed, grouped by month, for the year you choose in the Year selector. The selector offers the current year and every year that has a one-off holiday.

  1. Select Add holiday.
  2. Pick the Date.
  3. Type the Holiday name, for example "Diwali". The name is required.
  4. Tick Repeats every year if the date is the same each year.
  5. Select Add holiday to save. A message confirms "Holiday added".

A repeating holiday appears on its month and day in every year you browse and carries an Every year label. A one-off holiday shows only in its own year. Each entry shows the weekday and the date. Leadnote refuses to add the same holiday, with the same date and name, twice.

To remove one, select the remove icon on its row and confirm Remove holiday. A message confirms "Holiday removed". If a year has no holidays the page says "No holidays in" that year and prompts you to add the days your company is closed.

Floating holidays, such as festivals that move each year, need a new entry every year.

Where the schedule is used

It helps to be precise, because the schedule is not a switch for the whole product.

Round-robin distribution to a team. When a list hands new leads to a team, the dialog has an option called Only hand out leads inside the organisation working hours. With it on, new leads go to team members only while the organisation is open, judged by the weekly schedule and the organisation time zone. Outside the hours, nobody on the team is picked and the list falls back to its other assignment rules. The team leads are told, at most once an hour. The option lives in the list settings under Round-Robin to a team. The full rules are in round robin and list assignment.

Holidays. Holidays are stored as company days off and shown for reference. The distribution check looks only at the weekly schedule, not at holidays.

Not enforced elsewhere. Leadnote does not block, move or silence follow-ups, to-dos or reminders outside working hours or on a holiday. You can schedule a follow-up at 7 pm on a Sunday and its reminder rings at that time. See follow-up reminders.

There are no per-user hours. The check is the same for everyone on the team, and a second office in another time zone still uses the one organisation time zone and the one schedule.

The mobile app

The mobile app downloads your working hours and holidays with the rest of your account configuration, so they stay in step with the web app. You change them on the web. In the app, the follow-up settings screen shows the organisation's working week and holidays for reference.

Who can change them

Role Access
Account Owner View and edit
Manager View and edit by default
L1 User, L2 User View only

When you only have view access, the controls are disabled and the page shows "You can view the schedule. Only users with settings access can change it." The Account Owner can change these defaults in the permission matrix. Adding and removing holidays is recorded in the audit log. See the permission matrix for how roles map to settings access.

Tips

  • Set the time zone first, then the hours, then the year's holidays in one sitting. Tick Repeats every year for fixed dates such as 1 January.
  • Changing the hours does not edit old follow-ups. It only affects what happens from now on.
  • The company details, locale and account switches live on the same page. See set up your organisation profile.

Frequently asked questions

What are the default working hours?

Monday to Friday, 09:00 to 18:00, with Saturday and Sunday closed. You can change every day.

Which time zone do the hours use?

The organisation time zone from Locale Settings. Change the time zone there, not on the working hours page.

Can each user have their own hours?

No. There is one schedule for the whole organisation.

Do holidays or working hours block follow-ups and reminders?

No. You can schedule a follow-up at 7 pm on a Sunday or on a listed holiday and its reminder rings at that time. The schedule is information for your team plus the distribution rule described below.

How do I make a holiday repeat each year?

Tick Repeats every year when you add it. It then appears on the same month and day in every year and is marked Every year in the list.
