Getting started
Set up your organisation in Leadnote: where to start
Answer the four industry questions after sign-up, then finish your Leadnote organisation profile, locale, working hours and account switches in order.
Setting up your organisation in Leadnote has two parts. Straight after sign-up the account owner answers four short questions about the business. After that, you complete the organisation profile under Settings. This article gives the order and links to the detailed guide for each part, so you can finish in about ten minutes.
Step 1: the industry questions
After you create your account, Leadnote opens a four-step page for the account owner. A progress rail on the side shows the steps.
- Industry - choose the card that best describes you, such as Business Services, Real Estate / Construction, Finance / Insurance, Education, Manufacturing, Software and IT, Health care / Medical, Events & Trade shows or Others.
- Leads today - how you manage leads and customer data now: Spreadsheet or Excel, Telephone, Using emails, Contacts / WhatsApp, CRM, or Not using any tools. There is no wrong answer.
- Website - enter your company website, or tick My company is yet to publish a website.
- Challenge - one or two sentences on the main problem you want Leadnote to solve.
Use Continue to move on and Save & continue on the last step. A Thank you! screen follows, and Let us proceed takes you to the dashboard. Only the account owner sees this page, and only once. Your answers are saved with your account and shown to the owner and managers in Account Insights. They do not change which features you get.
Step 2: complete the organisation profile
Open Settings from the sidebar and choose My Organization Profile. The page shows how complete your profile is, for example "Your organization profile is 60% complete", and an "On this page" list that jumps to each card.
Work through the cards in this order:
| Card | What to do | Full guide |
|---|---|---|
| Billing Details | Enter the primary contact: name, designation and phone. The sign-in email is shown but cannot be changed here. | Organisation profile |
| Organization Details | Enter the organisation name, address, GSTIN (for India) and website. | Organisation profile |
| Locale Settings | Choose the time zone, default language, date and time format, digit grouping, financial year start, first day of the week and base currency. | Languages, time zone and formats |
| Account Settings | Decide the three switches described below. | Organisation profile |
The contact and organisation details you save are used in the billing information on your quotes and invoices, so fill them in before you send your first document.
Two choices to make early
- Time zone. Follow-up times, reminders, the dashboard schedule and working-hour checks are all shown in your organisation time zone, so everyone on the team sees the same time. Each person can still pick their own display language from Language in the account menu.
- Base currency. It is the currency your reports add up in. Decide it before you issue any quote or invoice. As soon as the organisation has quotes, invoices, sales orders or payments, the base currency is locked and shows the reason under Why the base currency cannot be changed.
Step 3: account switches
On the same page, Account Settings holds three switches that save immediately ("Changes here save immediately"):
- List based access rights - only users mapped to a list can see its leads. Turn this on when different teams must not see each other's data.
- Lock / unlock leads - stops lead and customer details from being edited once a deal is closed.
- Automatic duplicate check - protects against the same person arriving twice from forms and integrations.
Decide on list-based access before you invite your team, because it changes what each person can see. See lead visibility rules.
Step 4: working hours and holidays
On the same page, find Working hours and holidays and select Open. Set the weekly schedule per day and add company holidays. Follow-up reminders and stage SLA counts use these hours. See Working hours and holidays.
Other things on the page
- Define your Sales Organization has a Configure button for creating Regions, Branches and Divisions, then assigning users to them.
- The page also shows your current plan and a Manage plan button.
- Delete all data and close my account is a separate area at the bottom. Closing the account is a scheduled request with a grace period, and you confirm it by typing the organisation name.
Who can change these settings
The account owner can change everything. Managers can view and edit settings by default. L1 and L2 users do not get the Settings area unless the owner changes the permission matrix. See permission matrix.
Next steps
Continue with Customise stages, sources and fields, then Add and invite users. The first-week checklist puts all of this in a day-by-day order.
Frequently asked questions
Can I redo the industry questions after I submit them?
Not from the screen. The questionnaire is shown to the account owner once, right after sign-up. Opening its address again later sends you to the dashboard.
Who can change the organisation settings?
The account owner can change everything. Managers can view and edit settings by default. Other roles do not get the Settings area unless the owner changes the permission matrix.
Can I change my base currency later?
Only until your organisation has quotes, invoices, sales orders or payments. After that the base currency is locked, because changing it would rewrite the exchange rates on issued documents.
What does the automatic duplicate check do?
When a lead arrives from a form, Facebook, the API or another integration with the same email or mobile number as an existing lead, it is left unassigned and marked do not follow-up.
