Settings and billing
Set up your organisation profile in Leadnote
Fill in your company details, primary contact and account settings in Leadnote so your quotes, invoices and billing information carry the right information.
Your organisation profile holds the company name, address, tax number and primary contact for your Leadnote account. Open it from Settings, then My Organization Profile. The same page also has the locale settings and three account-wide switches.
Leadnote uses these details in the billing information section of your quotes and invoices. Keep them current before you send your first document.
What the page contains
The Company page is split into cards. An "On this page" list in the side panel jumps to each one.
| Card | What it holds |
|---|---|
| Billing Details | Primary contact and account owner: name, designation, email, phone |
| Organization Details | Company name, address, GSTIN, website |
| Branding | Logo images for the Leadnote web and mobile apps (see below) |
| Locale Settings | Currency, time zone, language, date and time formats (see languages, time zone and formats) |
| Currencies, Exchange rates, Tax | Money settings used by sales documents |
| Account Settings | Three switches that save immediately |
The side panel also shows how much of the required profile you have filled in, for example "Your organization profile is 80% complete".
Branding
The Branding card lets you pick a logo for the Web App and the Mobile App (PNG or JPG, up to 2 MB). The card notes that at the moment only the file details are stored and the image is not yet shown in the apps. Logos for your quotes and invoices are uploaded separately, in the Settings tab of Quotes and Invoices.
Fill in the profile
- Open Settings, then My Organization Profile.
- In Billing Details, enter First Name and Last Name. Designation is optional.
- Enter the Phone number. It accepts digits, spaces and hyphens, and you can pick the country code beside it.
- In Organization Details, enter Organization, Address 1, City, State, Country and ZIP. Address 2 is optional.
- Add your GSTIN if you have one. It must be 15 characters, for example 24AAACC4175D1Z4. Leave it empty if you are not registered.
- Add your Website if you like.
- Select Save on each card you changed. A message confirms "Organization details saved".
Required fields carry an asterisk. If one is empty, Leadnote asks you to fill it before it saves.
Account Settings switches
These three switches apply to the whole organisation. They save as soon as you flip them, with no Save button.
- List based access rights. When on, only the users you map to a list can see that list's leads. Read who sees which leads before you turn it on, because it changes what your team sees right away.
- Lock / unlock leads. When on, lead and customer details cannot be edited once a deal is closed. Users who have access can unlock a locked lead one at a time.
- Automatic duplicate check. When on, a lead that arrives from a form, Facebook, the API or another integration with the same email or mobile number as an existing lead is left unassigned and marked do not follow-up. If you see this happening, read why duplicate leads appear.
Other things on the page
- Define your Sales Organization. The Configure button opens the Sales Organization screen, where you create regions, branches and divisions.
- Working hours and holidays. A card with an Open button takes you to the weekly schedule and the holiday list.
- Plan. The page shows your current plan and a Manage plan button. The Manage Plan page is the place to see your trial or paid plan.
- Delete all data and close my account. This is a scheduled request with a grace period. The full steps and what Leadnote keeps are in delete your account or organisation.
Roles
| Role | Can do |
|---|---|
| Account Owner | Edit every card |
| Manager | Edit every card by default |
| L1 User, L2 User | No access by default. With view access granted, fields are disabled |
The Account Owner can change these defaults in the permission matrix, so your account may differ. See permission matrix.
Billing information is separate
The billing details Leadnote prints on your own subscription invoices are a separate form on the Manage Plan page. It follows your company country by default, and the Account Owner can change it there. See Leadnote invoices and billing information.
Troubleshooting
If Save does nothing, look for a field marked in red. The most common causes are an empty required field, a GSTIN that is not 15 characters, or letters in the phone number. If the whole page is disabled, you have view access only, so ask your Account Owner. If you see a no-access message instead, your role cannot open Settings at all.
Frequently asked questions
Who can edit the organisation profile?
The Account Owner and Managers can edit it by default. L1 and L2 users do not get the page by default. If the owner gives them view-only access in the permission matrix, they see it with every field disabled.
Can I change the sign-in email from the profile page?
No. The email on the profile page is the Account Owner's sign-in email and it is shown as read only.
Where do I delete my organisation?
The Company page has a Close account button at the bottom. It starts a scheduled request with a grace period, and you confirm it by typing the organisation name.
