User roles in Leadnote: Owner, Manager, L1 and L2
Leadnote has four roles: Account Owner, Manager, L1 User and L2 User. See who each is for, how they rank and where you change a person's role.
Every person in Leadnote has one of four roles: Account Owner, Manager, L1 User or L2 User. The role decides which screens the person can open and what they can do on each one. This page explains who each role is for. The exact rights per screen are in the permission matrix.
The roles rank in this order: Account Owner, then Manager, then L1 User, then L2 User. Rank matters when one person acts on another. For example, you can set someone's password or reset their two-factor sign-in only if they rank below you.
The four roles
| Role | Who it is for | In short |
|---|---|---|
| Account Owner | The person who owns the account. There is exactly one. | Full access to everything, and the only one who can change the permission matrix. |
| Manager | A sales head or team manager. | Runs the team and sees every lead, but cannot touch the owner account or the permission matrix. |
| L1 User | The normal sales user. | Works leads, tasks and calendar, and can export leads. No access to user management or settings. |
| L2 User | A restricted sales user. | Like L1 with fewer rights: no lead export, no deleting tasks, sales tools are view only, no campaigns. |
Pick the lowest role that lets the person do their job. The table shows the defaults, and the Account Owner can change what Managers, L1 Users and L2 Users are allowed to do.
What only the Account Owner can do by default
- Change the permission matrix.
- Add a Manager or promote someone to Manager.
- Delete a user or a team. Everyone else can only deactivate users.
- Swap ownership to another person, who becomes the new owner while you become a Manager. See transfer account ownership.
- Upgrade, cancel or buy credits on the plan, and delete the whole organisation.
The owner is also protected. Nobody can deactivate, delete or demote the Account Owner, not even the owner. The role only moves through Swap ownership.
What a Manager can do by default
A Manager sees every lead in the organisation, whatever the list access settings say. By default a Manager can:
- Work with leads, tasks, the calendar, sales tools, campaigns and lists with full rights, and manage every list.
- Add L1 and L2 Users, edit them, change their roles, deactivate and reactivate them, and reset their passwords.
- Create and edit teams, and set who sees which records.
- View and export reports, and view plan and billing details.
- Set up integrations, and import and export data.
A Manager cannot add other Managers, delete users or teams, edit the permission matrix, or change the plan.
What L1 and L2 Users can do by default
Both roles can view, create and edit leads. L1 Users can also export leads and delete their own tasks. Neither role can manage users, integrations or plan and billing, and neither can change settings. Which leads they see depends on your lead visibility rules.
Some actions stay with Account Owners and Managers whatever the matrix says, such as creating lists and locking leads. The matrix article lists them.
Team leads are not a role
Inside a team, a person can be marked Lead. A team lead keeps their own role and gains a few powers over their own team, such as adding regular members, setting open lead caps and reassigning work between members. These powers never go beyond what the person's role already allows. See create and manage teams.
Where you manage roles
- Open Settings, then Add & Manage Users / Team.
- Use Add User to choose a role for a new person, or open the row menu of an existing person and choose Change role.
- Optionally type a reason. It is saved in that person's Role history.
You cannot change your own role. Only the owner can make someone a Manager, and the owner role itself cannot be assigned here. A Manager can change the roles of L1 and L2 Users but cannot make anyone a Manager.
Settings, then Roles & Permissions, shows the matrix. Managers can read it. Only the Account Owner can edit it.
On the mobile app
In the Leadnote mobile app, Account Owners and Managers have Manage users. You can add a user, change a role, resend an invitation, deactivate or reactivate a person, set a password and reset two-factor. These actions need an internet connection. Everything else on this page happens in the web app.
If someone cannot see a screen
When a person says a menu item is missing, check their role first, then the matrix. Missing permissions or menu items walks through it.
Frequently asked questions
How many Account Owners can an organisation have?
Exactly one. The owner role cannot be created, only handed over to another user with Swap ownership. The previous owner becomes a Manager.
Can a Manager add another Manager?
No. Only the Account Owner can add a Manager or promote someone to Manager.
Where do I change a person's role?
Open Settings, Add & Manage Users / Team, then use Change role in the row menu of that person. The change is saved in their role history.
Is a team lead a fifth role?
No. A team lead is a person with the Lead role inside one team. It adds a few team powers on top of their normal role and never goes beyond what that role allows.
