How to transfer account ownership in Leadnote

Hand the Account Owner role to another active user with Swap ownership. See who can do it, what changes for both people, and what to check first.

Last updated 4 min read

Swap ownership makes another person the Account Owner and turns you into a Manager. Only the current Account Owner can do it, and you confirm with your own password.

Use it when the owner is leaving the company, handing over the business, or simply changing roles. The Account Owner cannot be deactivated, deleted or demoted in any other way, so this is the only route.

What changes

Before After
You Account Owner Manager
The person you choose Any role Account Owner

The new owner controls billing, roles and account closure. The organisation's contact name and email are updated to the new owner as well. The previous owner keeps their sign-in and their leads, but loses the owner-only rights listed in User roles and permissions.

Before you start

  • The new owner must already be an active user of your organisation. Add them first if they are not there yet. See Add and invite users.
  • Prefer someone who has accepted their invitation and signed in. Ownership held by someone who cannot sign in leaves the account without a working owner.
  • Ask the new owner to turn on two-factor sign-in if they have not. The owner account is the most powerful one.
  • Tell your team. The permission matrix and billing now belong to someone else.

Swap ownership

  1. Sign in as the current Account Owner.
  2. Open Settings, then Users.
  3. Open the row menu of the person who should become the owner and choose Swap ownership. The option only appears for the Account Owner, and not for your own row or for a deactivated person.
  4. Read the message: "Make this person the account owner. You become a Manager. This changes who controls billing, roles and account closure."
  5. Enter Your password and confirm.

The page reloads and the new owner is marked as the Registered owner in the list. Your own role now reads Manager.

After the swap

  • The new owner can edit the permission matrix, add Managers, delete users, and manage the plan.
  • You can be offboarded like any other Manager. If you are leaving, the new owner does it from the row menu with Offboard....
  • Lists you own stay yours until you change the list owner. Open the list and use Change list owner if the new owner should manage them.

A short hand-over checklist

Ownership is easy to swap but the surroundings are worth a quick look:

  1. Check Settings, then Users, that the new owner's email address is one they read every day, because it also becomes the organisation's contact email.
  2. Look at Roles & Permissions with the new owner, so they know what Managers and L1 and L2 Users can do today.
  3. Confirm that lists, teams and round robin rules still point at people who are active. If you plan to leave, ask the new owner to offboard you afterwards, because nobody can offboard themselves. Your leads and tasks then go to the people they choose.

Why you cannot just deactivate the owner

The Account Owner holds the account itself. Leadnote refuses to deactivate, delete, offboard or demote that user, because the organisation would be left without anyone who can manage billing or close the account. Trying to offboard the owner shows the message "Use Swap ownership to hand the account to someone else first, then offboard the previous owner."

Deleting the whole organisation is a separate action that only the Account Owner can start. It asks for your password and a typed organisation name, and has a seven-day grace period. See Delete your account or organisation.

On the mobile app

Swap ownership is available in the web app only.

Frequently asked questions

Can a Manager transfer ownership?

No. Only the current Account Owner can hand ownership to someone else.

What role do I have after I swap ownership?

You become a Manager. You keep access to the account but lose the rights that belong only to the Account Owner.

Can I transfer ownership to someone who has not signed in yet?

Choose an active person. It is safer to wait until they have accepted their invitation and signed in at least once.

Can I get ownership back?

Only if the new owner swaps it back to you. There is no other way to restore the owner role.
