How to search and filter leads in Leadnote
Find any lead fast: search by name, company, email or phone, use the filter bar for list, stage, source and owner, or press Ctrl+K for global search.
To find a lead, click Search on the Leads & Customers screen, type a name, organisation, email or mobile number and click Go. To narrow the list rather than find one person, use the filter bar for list, stage, source and owner. Press Ctrl+K from anywhere for the global search.
Search on the Leads & Customers screen
- Open Leads & Customers in the sidebar.
- Click Search above the leads. A search bar opens.
- Choose where to look in the Search in menu. The choices are All Fields, Company, First Name, Last Name, Addresses, Phone Number and Website.
- Type your text. The box suggests "Search by Name, Organization, Email, Mobile...".
- Click Go.
The results show in whichever view you use (Card, Table or Kanban). The text you searched appears as a "Search" chip in the Active Filters list. Click Clear next to the search box to remove it.
Use the filter bar
Four menus sit above the leads. Each one lets you tick several values and has a Select all option:
| Menu | Narrows by |
|---|---|
| Select Lists | The list a lead belongs to |
| Select Lead Stages | The pipeline stage |
| Select Lead Sources | How the lead arrived |
| Select Users | Who the lead is assigned to, including (Unassigned) |
The screen reloads as soon as you change a menu. Your view, sort order and page size stay as you set them.
Filter panel
On wide screens the filter panel sits at the left of the leads; on narrower screens click Filters to open it as a drawer. It adds many more conditions: potential, tags, deal size, lead score, follow-up dates, activity, capture date, organisation and location, notes, birthdays and more. Those are explained in advanced filters.
At the top of the panel:
- Active Filters lists every condition in force, as removable chips. A counter shows how many are active.
- Find Filter Criteria is a small search box. Type a word such as "city" or "tags" and the panel shows only the matching sections.
- Saved Filters lets you reuse a combination. See the next section.
- Clear All Filters resets everything.
Save a filter you use often
- Set up your filters.
- Click Save Current Filter.
- Give it a name such as "High potential enterprise" and click Save Filter. A message confirms "Filter saved".
- Later, open Saved Filters and choose the name from "Select a saved filter...". It applies instantly.
- To remove a saved filter, select it and click Delete saved filter.
Saved filters belong to your user.
Global search
Press Ctrl+K (Cmd+K on a Mac) or click Search in the top bar to search the whole account without leaving the page.
- Pick Leads & Customers in the left rail. You can narrow the search to one field, for example Email or Company.
- Type at least two characters. Results appear as you type.
- Use the Up and Down arrows to move and Enter to open a lead. Choose View all leads to see the full list of matches on the Leads screen.
- Press Esc to close.
Deleted leads and archived items are left out of global search. The same search can also find tasks, lists, products and menu pages, which is useful for jumping straight to a setting.
When nothing matches
If the screen shows No Leads Found, it tells you whether the cause is your search text, your filters, or simply no leads yet:
- For a search, check spelling, try broader words, or choose All Fields. Click Clear Search.
- For filters, click Clear All Filters, widen date ranges or remove stage and source conditions.
- If you have no leads yet, use Add Lead or Import leads.
Also remember that Leadnote can hide leads from some users. When your organisation uses list based access rights, a member sees only the leads in lists they own or are mapped to, plus leads assigned to them. Ask your account owner if a lead you expect is missing.
Combine with bulk actions
After you filter, tick a lead and click Select all N leads to select everything that matches. Then use bulk actions such as assigning, moving, tagging or exporting the whole result set.
Frequently asked questions
What is the quickest way to find a lead?
Press Ctrl+K (Cmd+K on a Mac) anywhere in Leadnote, choose Leads & Customers and type at least two characters. Results appear as you type.
Can I search by phone number or website?
Yes. On the Leads & Customers screen, click Search and use the Search in menu to pick Phone Number, Website, Company, First Name, Last Name or Addresses, or leave All Fields.
Why does the screen say No Leads Found?
Either your search text or your filters match nothing. Click Clear Search or Clear All Filters, then try broader terms.
Do filters affect bulk actions?
Yes. If you select all matching leads, a bulk action applies to every lead that matches the filters currently applied.
