Leads
How to attach files to a lead in Leadnote
Upload proposals, contracts and photos to a lead, download or delete them later, and add business card images or a profile photo. File size limits explained.
Keep documents next to the lead they belong to. Open the lead, click the Attachments tab, and drag files into the upload area or click browse. Each file can be up to 5 MB, and everyone who can open the lead can download it.
Upload an attachment
- Open the lead from Leads & Customers.
- On the right, click the Attachments tab. The badge shows how many files are attached.
- Drag files onto the box that says "Drag and drop files here or browse", or click browse and choose them. You can add several at once.
- Wait for "Uploading..." to finish. A message confirms how many files were uploaded.
If a file is larger than 5 MB, Leadnote rejects it and names the file. Reduce it, split it or share a link to it in a comment instead.
Read the list
Under Attachments (n), each file shows its name, its size, who uploaded it and when, for example "240 KB - Uploaded by Priya Nair on 12 Oct 2026". Two icons sit at the end of the row:
- Download saves the file to your device. Downloads are always saved as files and never opened inside the page.
- Delete removes it after you confirm "Delete this file? This cannot be undone."
Every upload is also written to the lead's timeline as "Attachment added: file name", so your team can see it in the System logs. See lead activity history.
Attach a file while commenting
When you write a comment, click Attach files to add documents to it. The comment shows the files, and they also appear on the Attachments tab. This is handy when the file needs an explanation, such as "Signed quote, valid till 30 November". See lead notes and comments.
Add a business card
- Open the lead and click the three dots button (More actions).
- Choose Add business card.
- In "Upload Front and Back sides of business card", choose Add front of business card and Add back of business card. Images only, 2 MB each.
- Click Upload. The button stays disabled until you have chosen a side.
The images are saved on the lead and can be viewed again from the same menu. On the web, Leadnote stores and displays them. It does not read text from them. To turn a paper card into a new lead, use the scan feature of the mobile app.
Add or change the profile photo
- Open the three dots menu and choose View Profile Photo.
- Click Add Photo (or Change Photo) and choose an image of up to 2 MB.
- To remove it, click Delete Photo. The lead goes back to showing initials.
Delete an attachment
- On the Attachments tab, click Delete at the end of the file's row.
- Confirm "Delete [file name]? This cannot be undone."
- A message says "Attachment deleted". The file is removed for everyone.
Deleting an attachment does not delete the comment it was attached to. If you only want to replace a document, upload the new version first, then delete the old one.
Where attachments show up elsewhere
- The lead's System logs list each upload, so you can tell who added a file and when.
- Files added to a comment stay linked to that comment, which gives the file its context.
- When you merge duplicate leads, attachments from the copies move to the master record. See merge duplicate leads.
- When you delete a lead, its files stay with it and return if you restore the lead within 45 days.
Tips
- Name files clearly before uploading. The file name is what everyone sees.
- Keep one version of each document. Delete the old one when you upload the new one.
- Do not store anything you would not want colleagues with access to the lead to see.
- Use attachments for documents about this lead. For documents you send to customers, such as quotes and invoices, use Sales Tools, which link to the lead on their own.
Mobile app
Attachments added in the mobile app also appear here after sync, including files added while offline. See offline mode and how sync works.
