How to edit a lead in Leadnote

Edit a lead's details, change its stage, potential, deal size or tags in a few clicks, and learn which edits are blocked when a lead is locked.

Last updated 4 min read

You can edit a lead from the Leads & Customers list or from the lead's own page. Open the lead, click Edit or the pencil icon, change the fields and click Update. Small changes such as stage, potential, deal size and tags can be made in one click without opening the full form.

Ways to open an edit

Where What to click
Card view The pencil icon on the card (tooltip Edit Lead)
Table view The Edit column at the start of the row
Lead page, Qualifiers panel Edit at the top of the panel
Lead page, profile Any "Add ..." link such as Add Email, Add Mobile or Add Website where a value is missing

All of these open the form called "Update a Lead or Customer". It has the same four tabs as the add form: Profile, Qualifiers, Follow-up and Info+. See add a lead for what each field means.

  1. Change what you need.
  2. Click Update. A confirmation says "Lead updated successfully".
  3. If you did not change anything, Leadnote says "No changes to save".

The same rules as when adding apply: a first name is required, and a lead needs an email or a mobile number. When you change an email or mobile number that matches another lead, the duplicate warning appears.

Move a lead to another list

On the Profile tab of the edit form, the current list is shown next to Move Lead. Click it, choose a list and click Move. You can also use the three dots menu on the lead page and choose Move, or select several leads and use Move to List (see bulk actions).

Quick edits on the lead page

On the lead page you do not have to open the whole form for common changes:

  • Stage. Click the stage chip under the lead's name. The Update Lead Stage window lists every stage, marks Won and Lost stages, and shows the current one. Pick a stage and click Update.
  • Potential. Click the potential in the Qualifiers panel to choose High, Medium, Low or Not Relevant.
  • Deal size. Click Update Deal Size. When you change the currency, Leadnote asks whether to relabel the amount (keep the number, change the currency) or convert it at today's rate.
  • Tags, Product Group and Customer Group. Use Edit tags, Select Product Group and Select Customer Group in the Qualifiers panel and choose from the lists.
  • Notes. Click Add Notes in the Qualifiers panel and save.
  • Follow-up and assignee. Use the Assignment & Follow-up panel. See assign leads and schedule a follow-up.

In the Kanban view you can also drag a card to another stage column. See lead views.

Profile photo, business card and addresses

Open the three dots menu on the lead page for these:

  • View Profile Photo shows the photo, or initials if there is none. You can add, change or delete the photo. Images are limited to 2 MB.
  • Add business card opens "Upload Front and Back sides of business card". Pick an image for the front and one for the back (2 MB each) and click Upload. On the web this stores and displays the images; the text is not read from them.
  • Manage Addresses opens the Addresses screen for this lead in a new tab.

Locked leads

A lead can be locked from the three dots menu with Lock Lead. A locked lead can only be edited, moved or deleted by an admin, which is the account owner or a manager. Anyone who is not an admin sees the lead but cannot change it. An admin chooses Unlock Lead to lift the lock. Only users allowed to lock and unlock leads see this menu entry.

The same applies in bulk: when you run a bulk action that includes locked leads, non-admins have those leads skipped.

Duplicates and merging

If two records describe the same person, do not delete one by hand. Use merge duplicate leads so comments, attachments and follow-ups are kept.

Check what changed

Every stage change and every reassignment is written to the lead's timeline. Open the System logs tab on the lead page to review them, as explained in lead activity history.

Frequently asked questions

Why can I not edit a lead?

The lead is probably locked. Locked leads can only be edited, moved or deleted by an admin (the account owner or a manager). Ask one of them to unlock it, or to make the change.

How do I move a lead to a different list?

Open the lead, choose the three dots menu and click Move, or open the Update a Lead or Customer form and use Move Lead next to the List Name.

Is there a history of what I changed?

Yes. Stage changes and reassignments are recorded on the lead. Open the System logs tab and switch between Logs and History.

Can I edit several leads at once?

Yes. Use Bulk Update via Sheet View for contact and address details, or the bulk actions bar for stage, potential, tags and lists.
