How to complete or reschedule a follow-up in Leadnote
Mark a follow-up as done with an outcome, or push it back by 30 minutes, an hour, a day or a custom time, and see how the history is kept.
To complete a follow-up, open the lead, choose Complete on the Assignment & Follow-up card, optionally write what happened and press Mark as done. To move it instead, choose Reschedule and pick +30 min, +1 hr, +1 day or a custom date and time. Both actions are kept in the lead's history.
Complete a follow-up on the web
- Open the lead from Leads & Customers, from the dashboard Follow-up schedule (View Lead) or from the calendar.
- On the Assignment & Follow-up card, find the pending follow-up. It shows the due date and either "Due" with when, or a red "Overdue by" badge.
- Choose Complete. A dialog titled Complete follow-up opens.
- Fill in Outcome (optional). The prompt reads "What happened on this follow-up?" A line or two is enough: who you spoke to, what was agreed.
- Press Mark as done.
You will see "Follow-up completed". If the follow-up repeats, the message is "Follow-up completed. The next one is scheduled." and a new follow-up appears on the card straight away.
Completing a follow-up does not change the lead stage. Move the stage separately, as explained in Lead stages.
Reschedule a follow-up on the web
- On the same card, press Reschedule. A menu drops down.
- Pick one:
- +30 min
- +1 hr
- +1 day
- Custom date and time
- For the custom option, a dialog titled Reschedule follow-up asks for New date and time. Choose it and press Reschedule.
The message "Follow-up rescheduled" confirms it. The +30 min, +1 hr and +1 day choices count from the later of now and the current due date. So if a follow-up is two days overdue and you press +1 day, the new time is one day from now, not a day after the old date. The three quick choices therefore never land in the past.
Notes, assignee and repeat setting stay as they were. To change them as well, use Edit and the full dialog described in How to schedule a follow-up.
What happens to repeating follow-ups
When you complete a follow-up that has a Repeat follow-up value, Leadnote creates the next one with the same note, assignee and reminder channels. The next date is the completed one plus a week, a month, a quarter or a year. If that date is still in the past (you completed it very late), Leadnote counts the same step from today instead, so the new follow-up is always in the future. The card shows "Repeats weekly", "Repeats monthly" and so on.
Rescheduling does not create a new follow-up; it moves the existing one.
Follow-up history
Below the card you will see Follow-up history with a count, for example "Follow-up history (4)". Open it to read earlier follow-ups. Each row has a status pill (Done or Cancelled), the due date, the note and the person it was assigned to. A follow-up shows as Cancelled when you cleared its date or set the lead to Do not follow-up.
Every complete, reschedule and cancel is also written to the lead's activity trail, so managers can see who did what and when. See the System logs tab on the lead.
On the mobile app
In the Follow-Ups tab, open a follow-up and choose Mark as done. A sheet titled Complete this follow-up appears with What happened? (optional). Confirm and the app shows "Follow-up marked as done". It works offline and is sent when the phone reconnects.
To move a follow-up, open it in the editor and change Next follow-up date. You can use In next 1 hour, Tomorrow same time, Next week same time or Custom. Press Save.
Who can do this
Owners and managers can complete and reschedule any follow-up they can see. L1 and L2 users can work with their own. If a button looks disabled, ask your owner about your role; the defaults are in the permission matrix.
Common questions about timing
- A follow-up that is complete cannot be completed again. A second attempt returns a message that it is already closed.
- If the lead is archived or deleted, its follow-ups no longer appear in the follow-up lists.
Frequently asked questions
Does completing a follow-up delete it?
No. A completed follow-up moves to the Follow-up history on the lead with the status Done, together with the date and note.
What happens to a repeating follow-up when I complete it?
Leadnote schedules the next one for you, using the same note, assignee and repeat setting. The confirmation reads Follow-up completed. The next one is scheduled.
Can I reschedule a follow-up that is already done?
No. Only a pending follow-up can be rescheduled or completed. Schedule a new one instead.
Does the mobile app have quick reschedule buttons?
The mobile app has no +30 min or +1 hr buttons. Open the follow-up in the editor and change the Next follow-up date, or pick one of the quick choices there.
