Follow-ups and tasks

Repeat follow-ups and the Do not follow-up setting

Set a follow-up to repeat weekly, monthly, quarterly or yearly, and mark leads as Do not follow-up so they stop appearing in your schedule.

Last updated 4 min read

A repeating follow-up schedules its own next date when you complete it, and the Do not follow-up setting tells Leadnote to stop scheduling or reminding for a lead altogether. Both are set in the same dialog on the lead: Edit on the Assignment & Follow-up card.

Repeat a follow-up

Some leads need regular contact: a monthly check-in with a customer, a quarterly business review, a yearly renewal call. Instead of rescheduling by hand every time, set a repeat.

  1. Open the lead and press Schedule a follow-up (or Edit if one exists).
  2. Pick the Next follow-up date.
  3. In Repeat follow-up, choose Weekly, Monthly, Quarterly or Annually. The default is None.
  4. Press Save Changes.

The card then shows "Repeats weekly" (or monthly, quarterly, annually) next to the due date.

What happens on completion

When you press Complete and then Mark as done:

  • Leadnote closes the current follow-up and keeps it in the history.
  • It creates a new follow-up with the same note, assignee, reminder channels and repeat value.
  • The new date is the old one plus one step: seven days for weekly, one month for monthly, three months for quarterly and one year for annually.
  • If that new date would already be in the past because you completed the follow-up very late, the step is counted from today instead, so the new follow-up is always ahead of you.
  • A confirmation reads "Follow-up completed. The next one is scheduled."

Only one follow-up is pending per lead at any time. That keeps your dashboard clean: you never see a year of future entries for one lead.

Rescheduling and repeats

Rescheduling a repeating follow-up moves that one entry and leaves the repeat in place. If you want to stop the series, edit the follow-up and set Repeat follow-up to None, or clear the date and save, which cancels the pending follow-up.

Repeat on mobile

The mobile editor has Repeat Follow-up with Weekly, Monthly, Quarterly and Annually. It behaves the same way, and completing a follow-up on the phone creates the next one after the sync.

Repeating to-dos

To-dos can repeat too, but they are a separate feature. The mobile to-do form offers Daily, Weekly and Monthly; the web form does not show a repeat option. See How to create a to-do task.

Do not follow-up

Some leads should stop appearing in your daily work: a contact who asked not to be called, a duplicate, a competitor, a lead that went cold for good. Marking the lead Do not follow-up takes it out of the follow-up routine without deleting it.

Turn it on

  1. Open the lead and choose Edit on the Assignment & Follow-up card.
  2. Switch on Do not follow-up.
  3. Enter the Do not follow-up reason. This is required.
  4. Press Save Changes.

The date, notes, repeat and reminder fields grey out because they no longer apply. Any pending follow-up on the lead is cancelled and moves to the history as Cancelled. The card shows a coral Do not follow-up pill with the reason, which expands with Show more if it is long.

The lead form has the same switch on its Follow-up tab, so you can mark a lead when you create it.

What changes

  • No follow-up date is scheduled, so the lead drops out of Today, Overdue and the calendar.
  • The mobile app skips the lead when it plans reminders.
  • The lead list can find these leads again with the Do Not Follow Up preset in the Follow-up filter, and you can add the Do not follow-up reason column to the table.
  • The lead remains visible everywhere else. You can still comment, attach files, change the stage and export it.

Turn it off

Open Edit, switch off Do not follow-up, choose a new Next follow-up date and save. The lead returns to your normal schedule.

Do not follow-up on the mobile app

The mobile editor has a Do not follow-up switch with the hint "No reminders are set for this lead". There is also Clear assignments & follow-up, which empties the assignee and the date in the form. The app says "Assignment and follow-up cleared. Save to apply." and nothing changes on the server until you press Save.

Which one should I use?

Frequently asked questions

When does the next repeating follow-up get created?

At the moment you complete the current one. Leadnote does not create future follow-ups in advance, so a lead only ever shows the next one.

Is a reason required for Do not follow-up?

Yes. The switch needs a reason, and saving without one shows: Please enter 'Do not follow-up' reason.

How do I start following a lead again?

Open Edit on the Assignment & Follow-up card, switch off Do not follow-up, set a new date and press Save Changes.

Does Do not follow-up delete the lead?

No. The lead stays in your lists and can still be searched, edited and moved between stages. Only its follow-up reminders stop.
