Lists and lead capture
How to delete a list in Leadnote and keep its leads
Delete a list from Lists > Actions > Delete List. If it still holds leads you pick another list to receive them, so no lead is lost.
To delete a list, open Lists, use the Actions menu on the list's row and choose Delete List. If the list still contains leads, Leadnote asks you to choose another list to receive them, then removes the empty list. Deleting a list never deletes its leads.
Before you start
- You must be an Account Owner, a Manager or the owner of that list. Other users do not see Delete List.
- You need at least two lists. Leadnote refuses to delete the only list and shows: "You cannot delete the only list in your account. Create another list first."
- Decide which list should receive the leads. Moving them changes their list for reports, filters and assignment rules, so choose carefully.
- Stop sharing the old list's form first. Its link and QR code will stop working once the list is gone.
Delete a list on the web
- Click Lists in the sidebar.
- On the row of the list you want to remove, open the Actions menu (the three dots) and choose Delete List.
- In the Delete List window:
- If the list is empty, you see "Are you sure you want to delete (name)? This cannot be undone." Confirm to finish.
- If the list has leads, Leadnote shows how many are active, for example "This list still has records (24 active)". It also mentions archived or deleted records if there are any. Open the Move records to drop-down and choose Select an alternate list.
- Confirm the deletion.
You can also delete from inside a list: open Edit List, click More Actions and choose Delete List.
When it succeeds you see "(name) deleted successfully", and when leads were moved, "...and integrations remapped to (target list)".
What happens to the leads and connections
| Item | Result |
|---|---|
| Active leads | Moved to the list you chose |
| Archived and deleted leads in the list | Also moved, so you can still restore them later |
| Connected apps that sent leads to the list | Remapped to the list you chose, so new leads from them keep arriving |
| The list's form link and QR code | Stop working |
| History | The receiving list records "records moved in" with the count and the old list's name |
Leads keep their stages, notes, follow-ups, tags and assignment. Only their list changes.
If you see a validation message
- "Please select an alternate list" means the list has leads and you have not chosen where they go. Pick a list in the drop-down.
- A message that the destination no longer exists means someone deleted the list you picked while you were working. Reopen the window and choose again.
Delete a list on the mobile app
- Open Manage Lists from the app menu.
- Tap the three-dot menu on the list and choose Delete list.
- If the list has leads, a sheet titled "Move N leads to" lets you pick the destination list.
- Confirm the question "Delete (name)?". For an empty list it reads "This list is empty. It will be deleted for everyone." For a list with leads it reads "Its leads will be moved to the list you chose. The list will be deleted for everyone."
On mobile, deleting a list works offline. The list disappears from your phone and its leads show in the destination list straight away, and the change is sent when you reconnect. If the server refuses it, for example because the destination list was deleted in the meantime, the list and its leads come back and a note on the Lists screen explains why. You can dismiss the note. See offline mode and how sync works.
A list that exists only on your phone, because its creation has not synced yet, is not offered as a destination.
Alternatives to deleting
- Rename the list if you only want a clearer name. See create and edit a list.
- Archive leads instead if they are old but you want to keep the list. See delete, archive and restore leads.
- Rotate the form link if the real problem is a leaked link. Account Owners and Managers can create a new link from the Organisation QR banner page; the old link and printed QR codes stop working. See QR code and QR display.
Frequently asked questions
Are the leads deleted when I delete a list?
No. If the list has leads, Leadnote makes you choose another list and moves every lead there first. Leads are never deleted by removing a list.
Why does Leadnote say I cannot delete the only list?
Every account needs at least one list for leads to live in. Create another list first, then delete the one you no longer want.
Can I undo deleting a list?
No. A deleted list cannot be restored. Its leads stay safe in the list you moved them to, but you would need to create a new list and a new form link.
What happens to the form link and QR code of a deleted list?
They stop working and show a 'Not valid' page to anyone who opens them. Replace printed QR codes with the form of the list that now holds the leads.
