Lists and lead capture
How to customise your Leadnote lead capture form
Use the form builder to show or hide fields, make them mandatory, reorder them, add custom fields, change the theme and set the thank-you message.
You customise a form in the form builder. Open Forms, click Edit on the form you want, change the fields, wording and look, preview the result and click Save. Changes go live at once on the same link and QR code.
Open the builder
- Go to Hub, then Data Management, then Leadnote Forms. Alternatively open a list, go to the Inquiry Forms tab and click Edit Form, which takes you to the same page.
- On the form's card, click the pencil (Edit form), or Edit in Table View.
- The builder opens with two tabs: Edit and Preview. A Live preview on the page shows your changes as you make them. View Enquiry Form opens the real public page.
The top of the page says whether you are editing the List form (the one created with the list) or an Extra form, and All forms takes you back to the Forms page.
Form text
Under Form text, set:
- Form Title, the heading visitors see.
- Sub title, a line below it.
- Submit button label, for example "Send my enquiry". It cannot be empty.
Choose the fields
The fields are grouped into five sections: Basic information, Contact details, Address, More about my needs and Notes. For each field you can tick:
| Column | Meaning |
|---|---|
| Display | Show the field on the form |
| Mandatory | Visitors must fill it in. A mandatory field is always shown. |
| Display Text | The label visitors see. You can reword it, for example "Mobile" to "WhatsApp number". |
Built-in fields: First Name, Last Name, Designation, Organization Name, Website, Email, Mobile, Direct Number, Office Number, Address Line 1, Address Line 2, City, State, Country, Zip, Potential, Customer Group, Interest In and Notes.
By default the form shows First Name, Last Name, Email, Mobile and Interest In. First Name, Email and Mobile are mandatory.
Rules to remember:
- First Name is locked on and mandatory.
- At least one of Email or Mobile must be shown and mandatory. Otherwise Leadnote shows "Mark Email or Mobile as mandatory so every submission can be followed up."
- A form can hold up to 40 fields.
- Use the up and down arrows beside a field to reorder it, and the remove button to take it off the form.
- Click a section's name to rename it, then Done renaming section.
Add custom fields
Custom fields you map to the list appear in the section More about my needs. You manage the field definitions under Settings then Fields; see custom fields on a list.
You can also add a field just for the form:
- Click Add custom field.
- Enter a Field label, for example "Preferred contact time".
- Choose the Type: Text, Long text, Dropdown, Number, Date or Checkbox.
- For a Dropdown, enter Options (one per line). At least one option is required.
- Choose the Section and tick Mandatory if needed.
- Click Add field.
Labels must contain letters or numbers and cannot repeat another custom field's label.
After submit and appearance
Under After submit and appearance, set:
- Form Response, the message shown after a successful submission (up to 500 characters).
- Redirect URL (optional), a page to send visitors to instead. It must start with
http://orhttps://. - Theme: Paper, Midnight, Marigold or Coral.
- QR banner text (up to 120 characters), the line printed above the QR code in the QR window you open from this builder. The Forms page window shows the default line. See QR code and QR display.
- reCAPTCHA check on this form, an extra bot check that works when the platform has reCAPTCHA keys.
Search engines and sharing
The Search engines and sharing card controls the form page's search title, search description, social sharing image and whether it is hidden from search engines (noindex). Leave it hidden if the form is only for people who have the link.
Share and embed
The Share and embed card gives you the QR code and an iframe Embed code. For the script option and for allowed websites, see embed a form on your website.
Save, fix and reset
Click Save. If something is wrong, a Fix before saving box lists each problem so you can correct it. A success message reads "Form saved".
Reset to default returns all field settings, text and theme to the defaults and removes custom fields you added to this form. It also clears the form's allowed websites, search settings and reCAPTCHA switch. It cannot be undone.
What the lead looks like
Each submission becomes a lead with source Enquiry form. "Interest In" is stored against the lead as its product group, and direct and office numbers are added to the lead's notes. Custom field answers are saved in the lead's custom fields.
Frequently asked questions
Why will Leadnote not let me save my form?
A 'Fix before saving' box lists the problem. The usual causes are that neither Email nor Mobile is mandatory, a display text is empty, a dropdown has no options, the submit button has no label, or the redirect link does not start with http:// or https://.
Can I remove the First Name field?
No. First Name is always shown and always mandatory, so every lead has a name. Everything else can be shown or hidden.
Do changes apply to links I already shared?
Yes. The link and QR code stay the same. Visitors see the updated form the next time they open it.
How do I go back to the original form?
Click Reset to default and confirm. Fields, text and theme return to the defaults, custom fields you added to the form are removed, and so are its allowed websites, search settings and reCAPTCHA switch.
