Lists and lead capture
How to create and edit a list in Leadnote
Create a list from Lists > Create List, name it, pick an owner, then rename it or change settings on the seven tabs of the Edit List page.
To create a list, open Lists in the sidebar, click Create List, type a name, choose an owner and save. You can then rename the list, change its owner and adjust its settings at any time from the Edit List page.
Create a list
- Click Lists in the left sidebar.
- Click Create List at the top right of the Manage Lists page. (The quick + menu in the top bar can also start this.)
- In the Create a New List window, type a List Name. Use something descriptive such as "Tech Expo Leads" or "NewYork Leads". The name can be up to 120 characters and must not match an existing list.
- Choose the List Owner, the person who will manage this list's leads and customers. It starts as you.
- Click Create List.
Leadnote then shows List Created Successfully! with a summary of what you can do next: add records, connect your website, set up greetings, add custom fields, set user access and configure automatic assignment. Click Edit List Settings to continue, or Back to Lists to return to the table.
Open the Edit List page
On the Lists Overview table, open the Actions menu on a row and choose Edit List. The menu only shows Edit List if you are an Account Owner, a Manager or the owner of that list.
The page header shows the list name, the Records count with a View link to its leads, and the List Owner.
Rename the list
Click the pencil beside the list name, type the new name and click the tick. You will see "List renamed". An empty name is refused with "Please enter the valid list name".
Change the owner
Account Owners and Managers see a pencil beside the List Owner. Click it, choose another person from the drop-down and click the tick. The new owner can edit the list and its settings from then on.
More Actions
The More Actions button holds two items:
- Change History lists who changed what and when, for example renames, owner changes, allocation changes and greeting changes. Records moved in from a deleted list are logged here too.
- Delete List (shown only when you may edit the list). See delete a list.
The seven tabs
Use the tabs under the header. Leadnote remembers your tab in the page address, so you can bookmark one.
| Tab | What you set there |
|---|---|
| Inquiry Forms | Your public form link, embed code and QR code. See lead capture forms. |
| Instant Communication | Automatic greeting email, SMS and WhatsApp for new leads. See auto-responders. |
| Distribute leads | The assignment rule for new leads. |
| Custom Fields | Extra fields that apply to this list. See custom fields on a list. |
| Get Leads | A read-only view of connected apps (website, Facebook and others) that send leads here. |
| User Access | Who can open this list. See list user access and statistics. |
| List Statistics | A live dashboard for this list. |
The Custom Fields and User Access tabs also show a count badge so you can see at a glance how many are set.
The Get Leads tab
This tab is titled "Connect Website, Facebook etc". It lists each connected application with its account, status (Connected, Disconnected, Error or Needs reconnect) and Leads Captured. If nothing is connected you see "No Connected Applications" and a Browse Integrations button. Connections themselves are made under Integrations.
What members can and cannot do
People who are not Account Owners or Managers can still open a list they own or have access to, but they cannot create lists or change the owner. On lists they own they can edit settings, tabs and delete the list. On other lists the settings are read-only.
Edit on mobile
In the mobile app, open the menu, choose Manage Lists, then use the three-dot menu on a list and pick Edit list. You can change the name, owner and description and switch greetings on or off. Assignment rules beyond one person are changed on the web, and greeting switches need an internet connection. See clone a list.
Frequently asked questions
Why can I not see the Create List button?
Only Account Owners and Managers can create lists. Ask one of them to create it for you, or to make you the owner of an existing list.
Can two lists have the same name?
No. Names must be unique in your organisation, and the check ignores capital letters. If you reuse a name you are asked to pick another.
Does renaming a list break its form link?
No. The form link is based on a separate key, so renaming the list does not change the link or printed QR codes.
