Lists and lead capture
How to add custom fields to a Leadnote list
Use a list's Custom Fields tab to map existing custom fields to it, create a new field for that list or remove one, so each source collects only what it needs.
A list can collect details that Leadnote does not ask for by default, such as "Booth visited", "Decision date" or "Preferred contact time". You decide which custom fields apply to a list on the list's Custom Fields tab, where you map fields you already have or create a new one for that list. Fields themselves, with every type, option and setting, are explained in custom fields for leads. This page covers the list-level view.
Open the Custom Fields tab
- Go to Lists.
- On the list's row choose Actions, then Edit List.
- Open the Custom Fields tab. It shows a count of the fields that apply to this list.
The panel is titled Enrich lead/customer data. A table lists each field with its Field Name, Type, Group, Values, whether it is Required and Actions. Fields set to apply to all lists in Settings are included, because they apply here too.
If nothing applies yet you see "No custom fields mapped yet" with a Map Existing Fields button.
Map existing fields to this list
Use this when the field already exists in your account.
- Click Map existing field to this list.
- The Map Existing Fields window shows how many fields are AVAILABLE (the ones not yet on this list). Use Search fields or groups to narrow them down. The fields are shown under their group.
- Tick the fields you want. The footer shows "3 fields selected".
- Click Map Selected Fields. You see a message such as "3 fields mapped".
If every field already applies you see "All Custom Fields Are Mapped". If your account has none you see "No Custom Fields Available", with a button to create one.
Create a new field for this list
- Click Create New Field.
- In Add New Field, enter the Field Name. It is required, can be up to 80 characters and must be new: a name that already exists, in any capitalisation, is refused.
- Choose a Field Type. This tab offers four types:
| Type | Used for |
|---|---|
| Text Box | A short answer |
| Text Area | A longer answer |
| Dropdown | One choice from values you list |
| Date | A calendar date |
- Choose a Group from the existing groups to keep similar fields together. The default is Ungrouped. To make a new group, use Settings.
- For a Dropdown, type the Field Values separated by commas, for example
Value1, Value2, Value3. The box is switched off for other types. - Tick Set as mandatory field if the field must always be filled in.
- Under Map to Lists choose which lists receive the field. The label counts them, for example "1 of 4 lists selected", and the list you came from is ticked for you. Select All Lists ticks every list that exists today.
- Click Add. You see "Custom field created".
If you forget the name or type, Leadnote says "Please provide Field Name, Field Type".
A field created here applies only to the lists you ticked. It is visible on lead forms from the start. A new list you create later does not receive it automatically, so map it there too.
Remove a field from a list
Click the remove icon on the field's row (Remove from this list). The message reads "(name) removed from this list". The field is not deleted. It stops applying to this list only, and the values already saved on leads stay where they are.
If the field was set to apply to all lists, removing it here turns it into a field mapped to every other list. In Settings its Mapped Lists column then shows a count instead of "All lists".
To delete a field completely, rename it, change its group or options, switch off its visibility or reorder fields, go to Settings and open Custom Fields. Deleting asks you to confirm and clears its values from any lead that holds one.
Who can change a list's fields
You can map, create and remove fields only on lists you are allowed to edit: Account Owners, Managers and the list's own owner. Other users see the table without the buttons.
Where list fields show up
- Lead forms. The fields appear in the Qualifiers tab when you add or edit a lead in that list. Mandatory fields must be filled in.
- Your public form. Mapped fields are not added to it automatically. To ask an extra question on the web form, use Add custom field in the form builder. See customise your lead capture form.
- Filters and the lead page. Values appear on the lead and can be used in the lead filters.
Planning your fields
- Create fewer, clearer fields. Every extra question lowers form completion.
- Use a Dropdown instead of free text when you want to filter or report on the answer.
- Put event-specific questions on the event's list, not on all lists.
- Make a field mandatory only when you cannot work the lead without it.
Frequently asked questions
What is the difference between removing a field from a list and deleting it?
Removing a field from a list only stops it applying to that list. The field stays in your account and on any other list. Deleting a field happens under Settings, Custom Fields, and clears its values from leads.
Can I create a Number or Checkbox field from a list?
Not from the list tab, which creates Text Box, Text Area, Dropdown and Date fields. Create the other types in Settings, then map them to the list here.
Why do I see 'No Custom Fields Available'?
Your account has no custom fields yet. Create one here or under Settings, Custom Fields.
Do custom fields show on my web form?
Not by themselves. Fields mapped to a list belong to the lead form in Leadnote. The form builder has its own Add custom field button for questions that exist only on a web form.
