List user access and list statistics in Leadnote

Choose which users can open each list on the User Access tab, then track its pipeline, sources and overdue follow-ups on List Statistics.

Last updated 4 min read

The User Access tab of a list controls who can open it, and the List Statistics tab shows how the list is performing. Both are on the Edit List page: open Lists, choose Actions on a list, then Edit List.

Why user access matters

Account Owners and Managers see every list. Other users see only the lists they own or have been mapped to. Mapping is also a step in setting up the list's assignment rule: only people who have access to the list can be chosen for it. See round robin lead assignment.

Separately, the organisation-wide switch List based access rights (Settings, then Company) decides whether mapping also limits which leads a regular user sees. It is off by default, and Account Owners and Managers are never restricted. The full picture, with examples, is in lead visibility rules.

The User Access tab

The heading reads Who can access followed by the list name. It explains: "Control who can view, or edit this list and who has access to the data within this list." The table shows Name, Email, Role and Actions for each person who has access. The list owner carries a LIST OWNER label.

Give someone access

  1. Click Map Users. A panel opens with the people who do not have access yet. If everyone already has it, it says All users mapped.
  2. Click the users you want to add. The panel hint says: "Click on users to select. Click outside to map them."
  3. Click outside the panel. You see a message such as "2 users mapped".

Remove someone's access

Click the remove icon on their row (Remove access). You see "(name) no longer has access". The owner cannot be removed.

Only Account Owners, Managers and the list's owner can change access. For everyone else the tab is read-only.

The tab label carries a count of mapped users, and the same number appears in the Users column of the Lists Overview.

The List Statistics tab

Open List Statistics for the List Highlights dashboard. It is described as a real-time performance view for tracking list health, lead-to-conversion rates and team follow-up efficiency. Click Refresh Data to reload; a note at the bottom says when the figures were "Generated".

Panel What it shows
Assigned To Users How many leads each person holds
No Follow-up Leads without a follow-up date. If none, it says "All leads have follow-up dates".
Follow-up Overdue Leads whose follow-up date has passed. If none, it says "No overdue follow-ups".

Use these to decide where to act. A long No Follow-up panel means leads are waiting with nobody scheduled; fix it with a follow-up. A lopsided Assigned To Users chart suggests changing the allocation rule.

Jump to the matching leads

On the Lists page, the Not Assigned and No Follow-ups Set counts are links. Click a number to open the leads screen filtered to exactly those leads in that list. The View Records number opens every lead in the list.

Change History

Every change to access, allocation, greetings, names and owner is logged. Open More Actions then Change History to see who did what and when. Entries made by the system are shown as "System".

Frequently asked questions

What does mapping a user to a list do?

It lets that user open the list, and makes them available for assignment rules on that list. Whether they also see the list's leads depends on the organisation setting List based access rights.

Can I remove the list owner from the User Access tab?

No. The owner is shown with a List Owner label and always has access. Change the owner from the list header if you need someone else to manage it.

Are the statistics live?

They reflect the leads at the moment the tab loads or you click Refresh Data. The tab shows when the figures were generated.

Who can change user access?

Account Owners, Managers and the owner of that list.
