Lists and lead capture

Lead capture forms in Leadnote: share a link, get leads

Every Leadnote list has a public enquiry form. Share its link, print its QR code or embed it, and each submission becomes a lead in that list.

Last updated 5 min read

A Leadnote lead capture form is a public web page where anyone can type their details and send them to you. Each list has one automatically, and every submission becomes a new lead in that list, assigned by the list's rule. You can share the form link, print its QR code or embed it on your own website. This article is about the form and its link; the other articles cover changing the fields, QR codes and embedding.

How the form fits with lists

A form belongs to one list. When someone submits it, Leadnote:

  1. Creates a lead in that list with the lead source Enquiry form.
  2. Assigns the lead using the list's rule, for example round robin across your sales team. See round robin and list assignment.
  3. Records the submission so the form's submission count goes up.
  4. Sends a thank-you to the visitor only if you switched on the list's greeting for that channel, as described in auto-responders. The switches are off until you turn them on.

If the email or mobile number already belongs to a lead, no second lead is made.

Open the Forms page

Go to Hub, open Data Management and click Leadnote Forms. It also appears on the Add Leads page as "Leadnote Forms: Customizable online forms". By default only Account Owners and Managers can see and edit forms.

The page shows Total Lists and a card for every form. Use the search box to find a list name, Sort to order by created date or list name, and View to switch between Card View and Table View. Each form offers these actions:

Action What it does
Copy form link Copies the public link to your clipboard
Open form in a new tab Shows the form exactly as a visitor sees it
Show QR code Opens a QR code you can print or show on a screen
Website embed code Gives you code to paste into your website
Edit form Opens the form builder
reCAPTCHA Turns the extra bot check on or off for the form

Each card also shows the created date and the submission count.

  1. Open Lists, choose Actions on the list, then Inquiry form link. Or use Copy form link on the Forms page.
  2. In the Inquiry Form Link window, copy the link. Leadnote also opens it in a new tab so you can check it.
  3. Paste the link in an email, a WhatsApp message, a social media bio or an advert.

The link is your Leadnote address followed by /f/ and a long key that is unique to the list. The same link is on the Inquiry Forms tab of the Edit List page, with Copy URL, Preview and Edit Form buttons. Edit Form takes you to the Forms page.

What visitors see

The standard form asks for First Name, Last Name, Email, Mobile and "Interest In". First Name, Email and Mobile are mandatory. The page carries a "Powered by Leadnote" line.

  • Email addresses and phone numbers are checked before the form is sent, so a mistyped address is caught. A phone number needs at least six digits.
  • If the visitor leaves out both email and mobile, they are asked to enter one.
  • After a successful submit, they see your thank-you message, or are sent to a web address you set.

If a link has been replaced or is mistyped, visitors see a page titled "Not valid!" rather than a form.

Spam protection

Every form hides a trap field that people never fill in, checks that the form was open for a realistic time, and limits how fast one address can submit. You can also switch on reCAPTCHA for a form. It checks visitors only when your Leadnote administrator has set up the platform's reCAPTCHA secret. The exact rules are in embed a form on your website.

An Account Owner or Manager can issue a fresh link. The old link and every printed QR code stop working at once. The steps and the side effects are in QR code and QR display.

On the mobile app

Open Add Leads in the app menu. Under "More ways to add leads (using Web)", the form tile opens a list picker. Choose a list and you get its public link with Share link and Copy link buttons. The app tells you that anyone with the link can send an enquiry into that list, and that the fields are changed in the web app. Leads from the form reach the phone the next time it syncs.

Frequently asked questions

Do I need to build a form for each list?

No. Leadnote creates a ready-to-use form for every list automatically. You only open the editor when you want to change its fields, wording or colours.

Can visitors submit without an email address?

Yes, if the form does not make Email mandatory and does make Mobile mandatory. Every form must make at least one of Email or Mobile mandatory so you can follow up. The standard form makes both mandatory.

What if the same person submits twice?

Leadnote checks for an existing lead with the same email or phone number in your account. A repeat submission does not create a second lead, send a greeting or add to the submission count.

Who can see and edit the forms?

By default Account Owners and Managers. Forms follow the Integrations permission, which the Account Owner can change in the permission matrix.

Does the mobile app have forms?

The app shows the link of a list's form so you can copy or share it. The fields of the form are changed in the web app.
