Sending limits, unsubscribes and the suppression list

Understand Leadnote daily and monthly sending limits, how unsubscribe links work, and how to manage bounced, unsubscribed or blocked addresses.

Last updated 5 min read

Leadnote limits how many messages you can send, adds an unsubscribe link to marketing email, and keeps a suppression list of addresses that must not be messaged. This protects your sender reputation and your leads.

Sending limits

Limit What it covers Where you see it
Daily limit Messages per channel per day (10,000 by default) Review step of a campaign, the channel pages, Message Outbox, Usage tab
Monthly plan allowance Messages sent through the Leadnote sender, per channel and plan Message Outbox, Usage tab
  • The monthly plan allowance applies only to messages that go through the Leadnote sender. Messages sent through your own connected account do not use it. The amount depends on your plan, so read the meters on the Usage tab for your real figures. To compare plans, see plans, seats and usage.
  • The daily limit applies to every channel, whichever sender is used.
  • Messages Leadnote sends for its own purposes, such as invitations and password resets, are never blocked by your allowance. You can always reset a password even when you are over the limit.

Read the meters

Open Campaigns, then Message Outbox, then the Usage tab. For Email, SMS and WhatsApp it shows who sends (your own account or the Leadnote sender) and two meters: this month against the plan allowance, and today against the daily limit. A meter turns to a warning colour as it fills. At the limit, messages through the Leadnote sender are refused until the period ends.

When you hit a limit

  • Daily limit. The error says you are exceeding the daily limit and shows how many you sent today. Send a smaller audience today, or wait for tomorrow.
  • Monthly allowance. The error says your plan allows a number of messages per month through the Leadnote sender and how many you used. Connect your own provider for the channel or upgrade your plan. See upgrade and payments.

Your own account has no monthly Leadnote allowance, but your provider has its own limits and billing.

Marketing email, including every campaign by default, gets an unsubscribe link in the footer and the unsubscribe header that mail apps such as Gmail show as a one-click button. On the campaign form and the Bulk Email dialog on the Leads list, Add unsubscribe link is on by default. Leave it on.

When someone unsubscribes:

  1. Their address is added to your suppression list with the reason Unsubscribed.
  2. Leadnote records the lead as unsubscribed for that channel, so campaign audiences skip them.
  3. In the campaign they appear as Unsubscribed.

The link opens a confirmation page first, so a mail scanner that previews links cannot unsubscribe anyone by accident. SMS and WhatsApp messages have no unsubscribe link, so add numbers to the suppression list yourself when someone asks to stop.

The suppression list

Open Campaigns, then Message Outbox, then the Suppressions tab. Account Owners and Managers can see and manage it. It is filled in automatically and you can add to it.

Reason Created when Blocks
Unsubscribed The person used an unsubscribe link Marketing messages only
Hard bounce The address does not exist or rejects mail permanently Every message, including transactional
Spam complaint The recipient marked a message as spam Every message, including transactional
Added manually You added it Marketing, notifications and reminders, unless you choose other purposes

Bounces and complaints reach the list only when your provider reports them back to Leadnote. A paid email service can, with its delivery webhook set up. SMTP cannot report bounces automatically. See set up email sending.

Add an address

Choose Add address, then set the Channel, the Address, the Reason and, if you like, which purposes it Blocks and a Note. For phone numbers, start with the country code, for example +91 98765 43210. A number without one gets the calling code of your organisation's country.

Remove an address

Choose the remove icon on the row. Leadnote warns you if the address bounced or complained before, because removing it can hurt your sender reputation. You can add a reason. The removal is recorded in the audit log.

What suppression does to a send

Suppressed addresses are checked when a message is queued and again just before sending. A blocked message is stored with the status Suppressed and is never sent. You can find it in the message log and in the campaign's results as Suppressed / skipped.

Protecting your sender reputation

If too many messages from a channel bounce or draw spam complaints, Leadnote can pause sending on that channel automatically. The banner then says your account is paused and gives the reason. Contact support to have it resumed, see contact support. To avoid a pause, clean your list, send only to people who agreed to hear from you, and keep the unsubscribe link on.

Leadnote does not check whether a lead agreed to receive messages. That is your responsibility. The Bulk Email page reminds you to make sure leads have valid email addresses and have opted in. Use the Lead subscription status audience filter and the suppression list to keep opted-out people out of future sends. See campaign audiences.

Frequently asked questions

What is the daily sending limit?

Each channel has a daily limit for your organisation, 10,000 messages by default. A platform administrator can set a different cap for an account, so go by the figure on the campaign Review step, which also shows how many you have already sent today and blocks a send that would pass it.

Do messages sent through my own account count against my plan?

No. The monthly plan allowance applies to messages that go through the Leadnote sender. The daily limit still applies to your own account.

Can I send to someone who unsubscribed?

Not through marketing emails. An unsubscribe blocks marketing messages to that address. If you remove the address from the suppression list, you can message it again, so only do that if the person asked you to.
