Message templates and placeholders in Leadnote
Create email, SMS and WhatsApp templates and personalise them with placeholders. Includes the full list of placeholder tokens Leadnote fills in.
A template is a saved message with placeholders such as {{lead.firstName}}. When Leadnote sends it, each placeholder is replaced with that lead's own details, so one template personalises every message. Email, SMS and WhatsApp each have their own list of templates.
Where templates live
| Channel | Where to open it | Notes |
|---|---|---|
| Campaigns, Email Templates (also the Email Templates tab on the Bulk Email page) | The General Emails tab holds everyday templates. The Birthday Wishes tab holds birthday and special day templates. | |
| SMS | Campaigns, Bulk SMS, SMS Templates tab | Up to 700 characters. |
| Campaigns, WhatsApp, WhatsApp Templates tab | Up to 1,024 characters. Use Use for to choose Campaigns, Birthday wishes or Special day wishes. |
Account Owners and Managers can create, edit and delete templates. L1 and L2 Users can read them. Campaigns pick them from the template list.
Create a template
- Open the channel's template screen and choose New.
- Enter the template name (Email Template Name for email, Template name for the others). It can be up to 120 characters.
- For email, enter a Subject. Subject lines can use placeholders too.
- Write the message. In email use the editor: Write and Preview modes, with Bold, Italic, Link and Bulleted list buttons. Press Shift + Enter for a single line space. For SMS and WhatsApp use the text box.
- Insert placeholders from the menus: Placeholders for Lead and Placeholders for User in email, or Insert placeholder for SMS and WhatsApp.
- Choose Save.
The preview shows your text filled in with sample lead data. If you type a token Leadnote does not know, a warning lists it and says it will render empty.
Deleting a template does not change campaigns that already used it. They keep their content. Leadnote also keeps one email template called Welcome Message (System Generated, Non-Deletable). You can edit it but not delete it.
Placeholders Leadnote fills in
Type the token exactly, with two curly braces on each side. Spaces inside the braces are allowed.
| Token | Replaced with |
|---|---|
| {{lead.firstName}} | The lead's first name |
| {{lead.lastName}} | The lead's last name |
| {{lead.fullName}} | First and last name together |
| {{lead.company}} | The lead's company |
| {{lead.designation}} | The lead's designation |
| {{lead.email}} | The lead's email address |
| {{lead.phone}} | The lead's phone number |
| {{lead.city}} | The lead's city |
| {{lead.country}} | The lead's country |
| {{user.firstName}} | First name of the sending user (for a campaign, the person who created it) |
| {{user.fullName}} | Full name of the sending user |
| {{user.email}} | Email of the sending user |
| {{user.phone}} | Phone of the sending user |
| {{user.designation}} | Designation of the sending user |
| {{org.name}} | Your organisation name (the menu calls it Company name) |
| {{list.name}} | The name of the list the lead is in |
Note that {{org.name}} is your own business name. To use the lead's company, use {{lead.company}}.
Older tokens that still work
Templates imported from other tools can use the older style with hash signs. Leadnote still recognises these in messages it sends. They are case sensitive.
| Older token | Same as |
|---|---|
| #LeadName#, #VisitorName# | {{lead.fullName}} |
| #LeadCompanyName#, #LeadOrganizationName#, #VisitorCompanyName# | {{lead.company}} |
| #CompanyName#, #UserCompanyName# | {{org.name}} |
| #EventName# | {{list.name}} |
The SMS composer and the email editor still offer a few of these as buttons or hints.
How values are filled in
- A value the lead does not have becomes empty text, so a missing city leaves a gap. Check your wording with a test message.
- In email, lead values are escaped, so a name that contains angle brackets cannot add markup to your message.
- Campaign preview uses sample lead data. Each recipient gets their own values when the message is sent.
- A test message uses the lead name and company you type into the test form and sample values for the remaining lead details.
- Birthday and special day wishes fill the user tokens with the details of one of your account administrators.
Mobile app
On a lead, WhatsApp, SMS and Email first show a sheet with a search box, a None choice and the templates for that channel. Leadnote fills the placeholders with the lead's details, then opens the app on your phone with the text typed in, and logs the contact on the lead. The phone fills only the double curly brace tokens, so use that form in templates your team will also use on mobile. Email templates are shown as plain text on the phone.
In the web app, the WhatsApp, SMS and Email buttons on a lead open the app without a template.
Good habits
- Keep SMS short. The counter turns red at the limit.
- Do not remove the unsubscribe link from marketing emails. See sending limits and consent.
- For WhatsApp, remember the 24 hour rule explained in set up WhatsApp messaging.
When your template is ready, use it in create and send a campaign.
Frequently asked questions
What happens if I type a placeholder Leadnote does not know?
It is replaced with nothing in the sent message, and the template editor warns you that the token is not recognised. A known placeholder with no value on the lead, such as a missing city, also renders as empty.
Can I edit email templates on the mobile app?
No. Email templates hold formatted text, so the phone shows them for reading and you edit them in the web app. WhatsApp and SMS templates can be created and edited on the phone by Account Owners and Managers.
Which placeholder format should I use?
Use the double curly brace form, for example {{lead.firstName}}. The mobile app fills only that form. The older
