Set up email sending from your own address in Leadnote
Connect Gmail, Office 365, Zoho, Yahoo or any SMTP mailbox, or a paid email service, so campaigns and bulk emails go out from your own address.
You connect your email in Campaigns, on the Bulk Email page, in the SMTP Config tab. Once it is saved and checked, campaigns and bulk emails leave from your own mailbox or email service instead of the Leadnote address.
Only Account Owners and Managers can change these settings. Other users see the current state with a note that only organisation admins can change how messages are sent.
Choose a provider
Open Campaigns, then Bulk Email, then the SMTP Config tab. You will see these tiles:
| Tile | Plans | What you need |
|---|---|---|
| Gmail or Google Workspace | Every plan | The Google account email and a Google app password |
| ZOHO Mail, Yahoo Mail, Office-365 | Every plan | SMTP Email Id and password (an app password where your provider offers one) |
| Other SMTP | Every plan | Your own mail server details |
| Amazon SES, SendGrid, Mailgun, Resend, Postmark | Paid plans | The service's API key and a From address on a domain you verified there |
Saving a new provider replaces the one you had. A channel has one connected provider at a time.
Connect Gmail or Google Workspace
- Turn on 2-Step Verification for the Google account that should send your email.
- Open Google Account, Security, App passwords and create one named Leadnote.
- In Leadnote enter the Google account email and the 16 character Google app password.
- Choose Check & Save.
Mail then leaves through smtp.gmail.com from your own address.
Connect Zoho, Yahoo, Office 365 or another mailbox
Choose the tile. For the three named providers Leadnote fills in the server details. For Other SMTP you type them. The form asks for:
- Outgoing Mail Server (SMTP) and Outgoing Mail Port (465 is implicit TLS, 587 is STARTTLS, 25 is plain).
- Incoming Mail Server (IMAP) and Incoming Mail Port.
- SMTP Email Id and SMTP Email Password.
For Office-365, first allow SMTP access for the mailbox in the Microsoft 365 admin area, then use an app password. The steps shown in the app also mention switching multifactor authentication off for that mailbox, which lowers its security, so prefer the app password. For Zoho and Yahoo, generate an app-specific password in the account security page and use it as the password.
Connect a paid email service
On a paid plan, pick Amazon SES, SendGrid, Mailgun, Resend or Postmark. Verify your sending domain at the service first, then enter its key. Each form also asks for:
- From address, required, on a domain you verified with the service.
- From name and Reply-To, optional.
- Webhook verification value, optional. Save it and Leadnote shows a delivery webhook URL to paste into the service, so bounces and complaints reach your suppression list.
If your plan later changes to one without these services, your settings stay on file but messages go out through the Leadnote sender until you upgrade, switch to SMTP or remove the configuration.
Check & Save and test
Choose Check & Save. Leadnote contacts the provider to verify the credentials and shows one of three results: Connected and saved, Saved, but the provider rejected it, or Saved, but not verified. A rejected save keeps what you typed so you can fix it. Passwords and keys are stored encrypted and never shown again, so enter them again whenever you update the connection.
Then use Send a test email: enter To Email, Subject and Message, and open the result in the message log. Send a test before your first campaign.
Delivery and sender settings
The Delivery & sender tab appears once a provider is connected.
- Use this connection for sending switches your account on or off. When it is off, Leadnote uses its own sender instead.
- Use it for lets you choose which kinds of message use your account: Marketing, Notifications, Reminders and Transactional. Choose at least one.
- From Name, From Address and Reply-To set the sender. With SMTP the mailbox address is used when From Address is empty.
- Check connection again re-runs the credential check.
SMTP has no delivery webhook, so bounces are not reported back to Leadnote automatically. A paid email service can report them.
Send from your own domain through Leadnote
If you do not connect your own mailbox but want Leadnote's sender to use your address, open the Sender domain tab, enter the domain (for example acme.com) and choose Add domain. Publish the DNS records shown at your DNS provider, then choose Check DNS now. Changes can take from a few minutes to a day. Until the domain is verified, email leaves from the Leadnote platform address and your From address becomes Reply-To, so replies still reach you. Once it is verified, your address becomes the From. The ownership and DMARC records are checked with a DNS lookup. If you already send through your own SMTP mailbox, you do not need this.
To remove your connection, choose Reset. Email then goes back to the Leadnote platform address.
Next, write your message in message templates and placeholders or go straight to create and send a campaign.
Frequently asked questions
Why can't I choose Amazon SES, SendGrid, Mailgun, Resend or Postmark?
Those five email services need a paid plan. On a plan without them their tiles are marked Paid plan, and the page says which plans include them. Gmail, Zoho, Yahoo, Office-365 and Other SMTP work on every plan.
Can I use my normal Gmail password?
No. Create a Google app password and enter that. Without an app password the Gmail account is saved but cannot send, because Google sign-in is not available in Leadnote yet.
What happens to my emails if I do not connect anything?
Where Leadnote has a shared sender, email goes out from the Leadnote platform address with your From address used as Reply-To. The banner on the Bulk Email page shows which case applies.
