Delivery status and the message log in Leadnote

Find every email, SMS and WhatsApp message Leadnote sent, understand statuses like Sent, Delivered and Failed, and retry or cancel a message.

Last updated 4 min read

Every email, SMS and WhatsApp message Leadnote sends for you is recorded in the Message Outbox, with a status that follows it from the queue to the recipient. Open it from Campaigns when a message did not arrive or you want to know who sent what.

By default Account Owners and Managers can open the message log and the suppression list. Other users get a note that they need the account owner's access.

Open the Message Outbox

Go to Campaigns and choose message outbox in the note at the top of the page, or open Campaigns, Message Outbox directly. It has three tabs:

  • Messages: every message, newest first.
  • Suppressions: addresses that must not be messaged. See sending limits and consent.
  • Usage: what you have sent against your limits.

The log includes campaigns, test sends, birthday wishes, greetings and bulk messages from the Leads list. Invitations to new users are tracked separately in the invite outbox under Settings.

What the statuses mean

Status Meaning
Queued Waiting to be sent, or waiting for a retry.
Sending Being handed to the provider right now.
Sent Handed to the provider. Delivery is not confirmed yet.
Delivered The provider reports it reached the recipient.
Failed Leadnote could not send it, or the provider rejected it. The reason is on the message.
Bounced The recipient's server rejected it. A hard bounce adds the address to the suppression list.
Complaint The recipient reported it as spam. The address is suppressed.
Suppressed Blocked before sending because the address is on the suppression list.
Cancelled Stopped before it was sent.

Inside a campaign, recipients also show Opened for email when your provider reports opens, and Unsubscribed for people who used the unsubscribe link. Statuses only move forward, for example from Sent to Delivered.

Whether you ever see Delivered depends on the provider. SMTP, eBulkSMS and MSpace send no delivery reports, so those messages stay at Sent. For Twilio, Textlocal, Interakt and a paid email service you need to set up the delivery webhook so reports reach Leadnote. See set up email sending and set up SMS sending.

Find a message

On the Messages tab you can:

  • Search by subject, template or message id.
  • Filter by Channel, Purpose (Marketing, Notification, Reminder, Transactional), Recipient (exact), and From and Until dates.
  • Use the status buttons above the table: All statuses, Queued, Sent, Delivered, Failed, Bounced, Suppressed and Cancelled.
  • Choose Clear filters to start again.

The table shows Time, Recipient, Channel, Subject or template, Status and Sent from. Sent from tells you which account carried the message: "Your Textlocal account", "Leadnote platform address", "Leadnote platform sender", or "Not sent yet".

Open one message

Click a row to open the message panel. It shows the recipient, channel, purpose, template, provider, attempts, and when it was created, sent and delivered. Show message and timeline reveals the rendered text and the timeline of events, such as attempt started, handed to the provider, delivered, retry scheduled, failed over to the next provider, or opened.

If a message failed, Last error has the provider's own words. Typical examples are an invalid number, a rejected sender, a quota reached, or WhatsApp needing an approved template outside the 24 hour window.

Messages that carry a secret link are marked Sensitive and their text is hidden.

Retry and cancel

Account Owners and Managers see two buttons in the panel:

  • Retry appears for Failed, Cancelled, Suppressed and Bounced messages. The message returns to the queue with a fresh set of attempts and goes out through the first usable provider. A suppressed address stays blocked until you remove it from the suppression list.
  • Cancel sending appears for Queued messages only.

Leadnote also retries temporary problems by itself, several times with growing pauses, before it marks a message Failed. You do not need to retry a Queued message.

Ambiguous sends

Sometimes the connection breaks after the request has left Leadnote, so the provider may already hold the message. The panel then says Ambiguous send: not retried automatically. Leadnote does not retry it or send it through another provider, to avoid a double send. Check the provider's own log for the recipient, and retry only if the message is not there. Retrying anyway can deliver it twice.

Campaign results

Each campaign page lists its recipients with the same statuses and a note column for the reason a message was skipped or failed. Large sends refresh every few seconds while messages are still queued. See create and send a campaign.

If messages are not arriving

Check the banner on the channel page first. It tells you which sender is in use and whether the channel can send. Then open a failed message and read the last error. For a checklist, see messages not delivering.

Frequently asked questions

What is the difference between Sent and Delivered?

Sent means Leadnote handed the message to the provider. Delivered means the provider reported that it reached the recipient. Delivered only appears when your provider sends delivery reports back to Leadnote.

Can I retry a failed message?

Yes. Account Owners and Managers can open the message and choose Retry for a Failed, Cancelled, Suppressed or Bounced message. It goes back to the queue and is sent again through the first usable provider.

Can I stop a message that has not been sent yet?

Yes, while it is still Queued. Open it and choose Cancel sending. A message that has left the queue cannot be cancelled.
