How to create and send an email, SMS or WhatsApp campaign
Step by step guide to Leadnote campaigns. Pick an audience, choose the channel, write the message, send a test, schedule it and read the results.
A campaign sends one message to many leads on one channel: email, SMS or WhatsApp. You pick the audience, write the message, send yourself a test, then send now or schedule it. Leadnote shows the result for every recipient.
Account Owners and Managers can create, send and delete campaigns by default. Connect the channel first. The messaging overview links to the setup guide for each one.
Two ways to run a campaign
- New campaign. On the Campaigns page choose New campaign. A five step wizard walks you through it.
- Channel pages. The Bulk Email, Bulk SMS and WhatsApp pages each have a one-screen runner with four numbered cards: configure, compose, test, run.
They differ in one rule. The wizard's Channel step needs your own provider connected before you can continue. The channel pages also work when the banner at the top says messages go through the Leadnote platform sender. If the banner says the channel can not be sent yet, neither will work until you connect an account.
The wizard, step by step
- Audience. Choose which leads receive the campaign and check the counts. The preview shows Will receive, Match the filter and how many were left out. Campaign audiences explains every filter. You cannot continue with zero reachable leads.
- Channel. Choose Email, SMS or WhatsApp. Each card shows your connected provider, or Not Configured, with a button that takes you to the settings.
- Template. Enter a Campaign name, optionally pick a saved template, then write the message.
- Email asks for From Name (required), From Email, Reply To, Subject (required) and the body. Add unsubscribe link is ticked by default.
- SMS accepts up to 700 characters. WhatsApp accepts up to 1,024.
- Use the placeholder menus to personalise. See message templates and placeholders.
- Open Send a test email (or SMS, or WhatsApp message) under the form to try it. See below.
- Schedule. Choose Send now or Schedule for later. For later, pick a date and time under Send at. It must be in the future and uses your local time.
- Review. Check the name, channel and provider, sender, recipients, timing, selection criteria and the message. The footer shows the daily limit and how many you sent today. Choose Send campaign or Schedule campaign.
A Campaign Initiated window confirms the send. A scheduled campaign shows Campaign scheduled with the time.
Send a test first
The test box asks for Lead Name and Company (labelled differently for SMS and WhatsApp), and the destination: To Email, or a country code and To Mobile Number. Choose Send test email (or SMS, or WhatsApp). Placeholders use the name and company you typed, and sample values for the rest.
The test is queued and goes through your own account when you have one, otherwise the Leadnote sender. Open the message log link in the result to see its status.
Daily limit
Each channel has a daily ceiling. If your audience would pass it, the Review step shows "You are exceeding the daily ... credits" and the send button is disabled. Re-target a smaller audience. The figures, the monthly allowance and what to do at a limit are in sending limits and consent.
After you send
Open a campaign from the Campaigns list to see its page.
- Cards for Recipients, Queued, Sent, Delivered, Opened (email only), Failed and Suppressed / unsubscribed.
- A Breakdown bar and a table of every recipient with tabs for each outcome. Skipped rows say why, such as no address or suppressed.
- Large sends run in the background. A notice says how many messages are still queued, and the page refreshes every few seconds.
- Email has a Metrics tab on the Bulk Email page listing each campaign with its open and unsubscribe results.
Delivered and opened figures come from your provider's reports. With SMTP, no reports come back, so those numbers stay low.
From the page you can also Send now on a draft or scheduled campaign, Unschedule a scheduled one, or Delete it (not while it is sending).
Scheduled campaigns
A scheduled campaign runs as the person who scheduled it, with that person's access to leads. If that person has been deactivated, can no longer send campaigns, or the account is suspended, the campaign returns to Draft and the page shows "The scheduled send did not run" with the reason. Fix it, then schedule again or send now.
WhatsApp campaigns
WhatsApp delivers free text only to people who messaged your business in the last 24 hours, so test with your own number and expect failures for cold leads. See set up WhatsApp messaging.
Mobile app
Campaigns are not available in the Leadnote mobile app. Use the web app. On the phone, the WhatsApp, SMS and Email buttons on a lead open your own apps for a single message.
Frequently asked questions
Can I schedule a campaign for later?
Yes. On the Schedule step choose Schedule for later and set Send at in your local time. The campaign starts within a minute of that time. You can move it back to draft with Unschedule.
Why did my scheduled campaign go back to Draft?
A scheduled campaign runs as the person who scheduled it. If that person was deactivated or lost permission to send campaigns, or there were no reachable leads, it returns to Draft and the campaign page shows why.
Who can create and send campaigns?
By default Account Owners and Managers. L1 Users can see the campaigns list but cannot create, send or delete. L2 Users have no campaign access. The Account Owner can change this in the permission matrix.
