Export customers and invoices for accounting software
Export Leadnote customers and invoices as import-ready CSV or Tally XML files for QuickBooks, Sage, Xero, Zoho Books or Tally, with filters and history.
Leadnote can turn your customers and invoices into a file that your accounting software can import. It does not connect to the software or send data to it. You download the file and import it yourself. The export works for QuickBooks, Sage, Xero, Zoho Books and Tally. Account Owners and Managers can run it, if they hold both permissions described below.
Export a file
Open the Sales Tools hub and choose the Account software integration card, or choose an accounting card (QuickBooks, Sage, Xero, Zoho Books or Tally) on the integrations hub. They all open the Account Software Integration page. Accounting cards show the label Available, because nothing is connected, and carry the note "Draft: import columns unconfirmed". The Export tab is a four-step wizard.
- Choose Accounting Software. Pick QuickBooks, Sage, Xero, Zoho Books or Tally, then choose Continue.
- Select Data Type. Pick one:
- Customers: leads in a Won stage and leads that have an invoice, one row per contact.
- Invoices: invoices with their lines, grouped by invoice number.
- Apply Filters (Optional). Narrow the data, or choose Skip to export everything. You can filter by Lists, Created by and, for invoices, a From date and To date that apply to the invoice date. For customers the date range does not apply. Choose Apply & Continue.
- Export to Import-Ready Files. The page lists the Columns in the file, with each column's Leadnote field. Choose Export CSV or, for Tally, Export XML. Then use Download CSV or Download XML.
Choose Back to change a step, or Start over to begin again. Clear Filters removes your filters.
What the files look like
| Software | File | Dates | Notes |
|---|---|---|---|
| QuickBooks | CSV | Month/day/year | Customer names must be unique in QuickBooks, so repeated names get a number added. |
| Sage | CSV | Day/month/year | Contacts and sales invoices. |
| Xero | CSV | Day/month/year | Columns starting with an asterisk are required by Xero. |
| Zoho Books | CSV | Year-month-day | Contacts and invoices. |
| Tally | XML | YYYYMMDD | One ledger under Sundry Debtors per customer, and one Sales voucher per invoice. The Sales ledger and the tax ledgers must exist in your Tally company, or be renamed in the XML. |
CSV files are UTF-8 with a byte order mark. The export page also states the date format it uses for your software. Amounts keep the currency's own number of decimals, and at least two. Formula-looking text in a cell is made safe so that a spreadsheet does not run it.
Limits
- An export holds up to 50,000 rows. If your data is larger, the page says the file is incomplete and shows how many rows were exported. Narrow the filters and export again.
- You need permission to export data and permission to change integrations. If one is missing, the page tells you which one and asks you to contact your Account Owner. See the permission matrix.
Export history
Open the Export history tab to see the files from the last 90 days: when each was exported, the software, the data type, the filters, the number of rows and who ran it. Each file keeps its own name, and Download gets it again. You must be signed in to download. A Capped label marks a file that hit the 50,000 row limit.
Import into your software
- Download the file.
- Open your accounting software's import tool for customers or sales invoices.
- Import customers first, so invoices can find their customer.
- Check the first few records before you accept the whole import.
Your invoices come from Leadnote's invoice tool. See how to create an invoice. If you need a general lead export instead, see export and print reports and export your data.
Conversion tracking is separate
Exports are for bookkeeping. If you want Meta to learn which leads became customers, use the Meta Conversions API connection instead. It sends lead stage changes to a Meta dataset and has its own steps. See Meta Conversions API.
Frequently asked questions
Does Leadnote sync with my accounting software?
No. It creates a file that you import into your accounting software yourself. Nothing is sent to QuickBooks, Sage, Xero, Zoho Books or Tally.
Why does the export need two permissions?
Account software exports need permission to export data and permission to change integrations. Ask your Account Owner to grant what is missing.
Why is my export incomplete?
Exports are capped at 50,000 rows. The page warns you when a file is capped. Narrow the filters, for example to a shorter date range, and export again.
How long are exported files kept?
The Export history tab keeps the files of the last 90 days.
