Leadnote Integrations hub: what you can connect
See how the Leadnote Integrations hub works, who can use it, what the status labels mean and which ways of bringing leads in are available.
The Integrations hub is the one place where you connect Leadnote to the tools that send you leads or receive data from Leadnote. To open it, choose Hub at the bottom of the left menu and then the All Integrations card, or open Settings and choose Integrations Center. Account Owners and Managers can use it; L1 Users and L2 Users cannot by default. The other articles in this section say "open the integrations hub" and mean this page.
What is on the hub page
Cards are grouped by what they do:
| Group | What it holds |
|---|---|
| Lead Generation Platforms | Website forms, API, Zapier, IndiaMART, lead portals, Typeform, Google Forms, Meta Conversions API and other sources |
| Email Service Providers | Email accounts you send from (set up in your messaging channels) |
| SMS/ Text Service Providers | SMS accounts (set up in your messaging channels) |
| IVR/ Cloud Telephony | Call providers that log calls and place click-to-call calls |
| WhatsApp Communication | WhatsApp providers |
| Account Software Integrations | File exports for accounting software |
Use the search box (Search for Integrations...) to find a card by name. The Country filter shows the cards that apply to a country, and Global shows the ones that work anywhere. The filter buttons All, Connected and Needs attention narrow the list by status.
The email, SMS and WhatsApp cards send you to the messaging settings instead of a separate integration page. See messaging overview for those.
Status labels
| Label | Meaning |
|---|---|
| Not connected | Nothing is set up yet. Choose Connect. |
| Connected | At least one account is working. Choose Manage to change it. |
| Connected (2) | Two accounts of the same provider are connected. |
| Degraded | A few recent attempts failed. Leadnote retries on its own. |
| Error | Recent attempts did not succeed. Check the details on the integration page. |
| Reconnect needed | A login was revoked or expired. No new leads arrive until you reconnect. Leads already captured are safe. |
| Inactive | The account is switched off. New enquiries are not captured. |
| Available | Used on export-only cards such as accounting. Nothing is connected. Those cards may also say "Draft: import columns unconfirmed". |
A card can also carry a note. "Requires app approval" means the connector is complete but depends on an app that the outside provider must approve and Leadnote must set up. Read it as "not guaranteed to be usable yet". If a connection screen says the app has not been configured on the Leadnote side, there is nothing you can fix yourself; contact support.
Inside an integration page
Each integration has its own page with tabs. The tabs vary, but most have:
- Setup guide: the steps for that provider.
- Connection or Connect: the fields for the account, such as a token, a key or a list.
- Activity log: what happened lately, with a level, a kind and a status for each event. It shows leads arriving, checks running and errors. Raw payloads are never stored.
Disconnecting or deleting an account stops new leads. It never deletes the leads already in your lists.
Ways to bring leads in
These do not depend on an outside provider approving a Leadnote app, because you control both sides:
- Website forms. Every list has a hosted form you can embed. See embed a form on your website.
- Leadnote Pages. Landing pages with an optional enquiry form, set up under Lists and capture.
- Public API. Push leads from your own system with an API key. See the public API for developers and API keys.
- Webhook URLs. Lead portals and automation tools post to a private address. IndiaMART is also pulled automatically. See IndiaMART and lead portals.
- Zapier. Use Webhooks by Zapier with an API key. See Zapier.
- Typeform and Google Forms. Map each form to a list. See Google Forms and Typeform.
Ways to send data out:
- Outbound webhooks tell your own server when leads are created or change. See webhooks.
- Accounting export creates import files for accounting software. See export to accounting software.
- Meta Conversions API sends lead stage changes to Meta. See Meta Conversions API.
Calls are handled on the IVR / Cloud Telephony page, where you can also use click-to-call. See cloud telephony and click-to-call.
Need a connector that is not listed?
Choose the Request for New Integration card, or use the Contact us link on the hub. Describe the provider and what it should do.
If leads are missing, see leads not arriving from forms and integrations.
Frequently asked questions
Who can open the Integrations hub?
Account Owners can do everything. Managers can view, create and edit connections by default. L1 Users and L2 Users have no access unless the Account Owner changes the permission matrix.
What does "Requires app approval" mean on a card?
The connector is built, but it needs an app that the outside provider (for example Meta) has approved, and that your Leadnote administrator has set up. Until then the Connect step may be switched off.
Does disconnecting an integration delete my leads?
No. Leads that were already captured stay in your lists. Only new leads stop arriving.
