Connect Zapier to Leadnote with Webhooks by Zapier

Send leads from any Zapier app into Leadnote, and send Leadnote lead events to a Zap, using Webhooks by Zapier, an API key and a Leadnote webhook.

Last updated 4 min read

Leadnote is not yet listed in the Zapier app directory, so you use Zapier through the Webhooks by Zapier action. You call Leadnote's Zapier endpoints from it and sign in with an API key. This works for sending leads in from any app Zapier supports, such as Google Sheets, TikTok lead forms or LinkedIn.

The Zapier page is only for Account Owners and Managers. Open Settings and choose Zapier Integration, or choose the Zapier card on the integrations hub.

Before you start

  1. Create an API key with the Zapier scope. See API keys. The Zapier page shows whether you have such a key (Zapier key active or No key with the Zapier scope) and has a Create an API key with the Zapier scope button.
  2. Copy the key. You will paste it into Zapier.
  3. Decide which list should receive the leads. Open the Lists endpoint (below) to see list ids and keys.

Every request sends the key in the x-api-key header, or as Authorization: Bearer YOUR_API_KEY. Each key can make 240 requests a minute on these endpoints.

Send leads from an app into Leadnote

In Zapier, build a Zap with your trigger (for example a new Google Sheets row) and add the action Webhooks by Zapier, then POST.

  • URL: https://leadsnote.com/api/hooks/zapier/actions/create-lead
  • Body: send the data as JSON
  • Headers: x-api-key with your key
  • Data: map the fields from your trigger

Example body:

{
  "name": "Asha Rao",
  "email_address": "asha@example.com",
  "mobile": "+919876543210",
  "company_name": "Rao Traders",
  "listId": "LIST_ID_OR_LIST_KEY",
  "externalId": "row-1042"
}

What the Create Lead action does:

  • It takes free-form JSON. Common names such as name, email_address, mobile and company_name are recognised.
  • It needs an email address or a mobile number.
  • It answers with the lead and a status of created, or duplicate when the same externalId, email or phone already exists.
  • If you leave out listId, the lead goes to your default list.
  • The lead's source is Zapier.

The same job can be done with the public API, POST /api/public/leads. See the public API for developers. Use whichever field names suit your Zap.

The Leadnote cards for TikTok (using Zapier) and Google Sheets (using Zapier) only open the Zapier page. Until the Leadnote app is in Zapier's directory, build those Zaps with Webhooks by Zapier as above.

Other endpoints

Base address: https://leadsnote.com/api/hooks/zapier

Method and path Purpose
GET /auth/test Checks that the key works
GET /lists Lists names, ids and list keys
POST /actions/create-lead Creates a lead
POST /actions/update-lead Finds a lead by id, email or phone and updates it
POST /actions/find-lead Returns a list holding the lead, or an empty list
GET /triggers/new-lead New leads, newest first, up to 100. A polling trigger.
POST /subscribe and POST /unsubscribe REST hooks: body event and target_url to subscribe, id to unsubscribe
GET /sample/{event} A sample lead for lead.created, lead.updated or lead.stage_changed

The Zapier page lists these under Endpoints.

Send Leadnote events to a Zap

Use a Leadnote outbound webhook to start a Zap when something happens in Leadnote.

  1. In Zapier, create a Zap that starts with Webhooks by Zapier, then Catch Hook. Copy the custom webhook URL.
  2. In Leadnote, open the API and webhooks page and the Outbound webhooks tab. Add a webhook with that URL and the events you want, such as lead.created.
  3. Choose Send test in the webhook's menu so Zapier can see a sample.
  4. Build the rest of the Zap and turn it on.

See webhooks for the payload and retry rules. The event data holds the lead id and key fields, not the whole record.

The Zapier page

Tabs: Connection (the key status), Hooks (subscriptions), Sample payload, Setup guide and Activity log.

  • The Subscriptions list shows each Zap subscribed through the REST-hook endpoints. A subscription is switched off after 5 failed deliveries in a row and removed when Zapier says it is gone. Turn the Zap off and on again to subscribe again. The limit is 50 subscriptions per organisation.
  • Send test event posts a sample to every Zap subscribed to the event you choose. It tells you if none are subscribed.
  • The Activity log shows calls from Zapier and their results.

If a test lead does not appear, see leads not arriving from forms and integrations.

Frequently asked questions

Can I find Leadnote in the Zapier app directory?

Not yet. The Zapier page in Leadnote says the app is not in the Zapier directory yet and tells you to use Webhooks by Zapier with the endpoints listed there.

Which key scope does Zapier need?

Create the key with the zapier scope. A key with leads:read, leads:write, leads:update and webhooks:manage works too.

Will Zapier create duplicate leads?

Not if the person already exists. If the same external id, email address or phone number is already in your account, Leadnote returns the existing lead with the status duplicate.

How many Zaps can subscribe to Leadnote events?

Up to 50 subscriptions per organisation. A subscription is switched off after 5 failed deliveries in a row.
